ABOUT UWS3Role summaryUWS is looking for a proactive and highly organised People and Administration Officer toprovide essential support to our global team. This role serves as a foundational pillar for ourPeople and Operations functions, ensuring that the day-to-day administrative functions of thecharity run smoothly and efficiently. Working closely under the leadership of the Global Senior People and Culture Manager, youwill handle the vital "behind-the-scenes" work that makes UWS a great place to work. Fromcoordinating recruitment logistics to managing office technology and supporting boardpreparations, your role is central to our mission of educating children in remote communities. As this role will be based in Nepal, it will act as a vital operational link between the Nepal Huband the Global Senior People & Culture Manager in the UK office, ensuring smoothcoordination, communication and alignment of global People processes. Key tasks and responsibilities People and HR AdministrationSupport the recruitment lifecycle by posting job adverts, coordinating interviewschedules, and managing candidate correspondence. Administer onboarding and offboarding logistics, ensuring new starters have theequipment, access, and documentation they need from day one. Maintain accurate and up-to-date HR records and databases, ensuring all staff files aremanaged in strict compliance with Data Protection (GDPR) regulations. Act as the first point of contact for routine staff enquiries regarding leave, benefits, andstandard HR policies. Assist in the administration of the annual review process, tracking completion rates andfiling performance documentation. Assist with the coordination of Learning & Development activities, including schedulingtraining, maintaining an L&D calendar and tracking attendance/completion. Support Diversity, Equality, Inclusion and Belonging (DEIB) initiatives through logistics,scheduling, communications and data collection for reporting. ABOUT THE ROLESupport the development and updating of People policies by managing version control,formatting documents and tracking review cycles. Assist with compliance data collection, including safeguarding, health & safety, DEIBmetrics and audit preparation. Governance and Board SupportProvide administrative support for Global Board meetings, including booking venues,coordinating travel for Trustees, and assisting with the compilation of board packs. Take accurate minutes during meetings as required and ensure central communicationsfor the Board are distributed promptly. Maintain the corporate calendar, ensuring key governance dates and filing deadlinesare met. Office Operations & Finance Support Oversee day-to-day office coordination, ensuring the global staff across all countryoffices are well-equipped, organised, and a productive environment for the team. Assist in handling IT matters, acting as the liaison for office technology providers toensure smooth systems functioning. Provide general administrative support to the Global Senior Management Team,including diary coordination and travel bookings where required. Support the Finance team with basic processing tasks, such as managing executiveexpenses and helping with payroll data entry. Culture & Events Help plan and execute internal staff events, well-being initiatives, and team-buildingactivities to foster a positive organisational culture. Champion wellbeing and a positive, inclusive work culture by supporting the delivery ofthe People Strategy and modelling UWS values in all interactions. Please note, this is not an exhaustive list and other duties may be required in agreementwith your line manager. 3ABOUT THE ROLE3Experience, Knowledge and CompetenciesProven experience in an administrative or office support role, ideally within thecharity or international development sector. Exceptional organisational and time management skills, with a track record ofhandling multiple tasks and meeting deadlines. Strong communication and interpersonal abilities, with a friendly and professionalmanner when interacting with stakeholders. Tech‑savvy, with advanced Microsoft 365 skills and a keen interest in using moderntools - including HRIS, workflow platforms and emerging AI tools to streamlineprocesses and improve team efficiency. A fast, proactive learner who enjoys finding smarter, more innovative ways ofworking. High attention to detail and the ability to maintain strict confidentiality regardingsensitive staff data. A "can-do" attitude and a willingness to be flexible and helpful in a fast-paced,dynamic environment. Strong emotional intelligence and the ability to handle sensitive situations withprofessionalism and cultural awareness. A natural systems thinker with strong organisational skills and a proactive approachto improving processes.
