About the National & International Partnerships Administrator role:
An exciting opportunity has arisen for an experienced Administrator to join our busy National and International Partnerships Department. You’ll bring strong organisational, interpersonal, and IT skills to ensure efficiency and effectiveness across the department.
Organised and methodical, you will be working in an administration environment and be managing multiple priorities. You will be managing your own time and workload, working to deadlines and of maintaining confidentiality.
The department has multiple strands, working across internal and external senior stakeholders – we look forward to working with you as you support and enable our work across Scotland (and beyond).
As the National & International Partnerships Administrator at National Museums Scotland you will:

Be the main first point of contact for the National & International Partnerships Department and process internal and external enquiries and requests to ensure responsiveness and excellent communication, including responding to shared email inbox enquiries

Support the Head of National & International Partnerships. Duties include running their diary, arranging meetings and visits, dealing with correspondence, compiling meeting papers and organising paperwork and filing to ensure role effectiveness

Give general administrative support including such duties as coordinating diaries, setting up meetings, making arrangements for external visits, supporting delivery of training programme and events, making travel arrangements to maintain staff efficiency, gathering and collating departmental information as required for management or reporting purposes

Liaise with Finance and Human Resources on the recording and processing of financial and personnel transactions (e.g. financial requisitions, travel and credit card claims and attendance records) to ensure up-to-date, correct information
Skills and experience we’re looking for in our Administrator:

Excellent ICT skills in Microsoft Office including Word, Excel, MS Teams, Outlook and databases

Competence in use of online event and communication software such as Eventbrite and SurveyMonkey.

Experience of maintaining confidentiality and need for discretion

Proven experience in a busy administration environment
