Job Description

Purpose of the Role

Coleshill and Maxstoke Parish Churches seek to stand for Christ at the heart of their community, inspired to share God’s love with everyone. This role plays a key part in supporting that mission by helping to oversee the day-to-day running of church life.

We are seeking an enthusiastic and capable administrator who enjoys working with people and brings a warm, friendly approach both in person and over the phone. The ideal candidate will demonstrate integrity and honesty, work well as part of a team, and possess strong interpersonal skills. They will be discreet, able to maintain pastoral confidentiality, and adaptable in response to the varied and sometimes unpredictable nature of church life.

The role involves working closely with the Vicar, providing administrative support to both the Vicar and the parishes of Coleshill and Maxstoke.

Key Responsibilities

1. Personal Qualities

  • A committed Christian with a personal faith in Jesus Christ
  • Demonstrates flexibility, initiative, and a positive attitude
  • Strong attention to detail and the ability to manage multiple tasks effectively

2. Supporting Acts of Worship

  • Prepare rotas for weekly services (including hymns, welcome teams, and readers)
  • Liaise with the Vicar and those on rotas
  • Print orders of service, readings, and service booklets (as required)

3. Communication

Digital

  • Maintain and update the church website to ensure it is relevant, accessible, and welcoming
  • Monitor, respond to, and action incoming emails
  • Use Canva (or be willing to learn) to create materials
  • Maintain and update the church’s Facebook page
  • Ensure events and church news are effectively communicated
  • Prepare and produce the weekly newsletter (The Sunday Paper)
  • Create and share publicity for events

Print

  • Send invitations for church events where necessary
  • Print service booklets as required
  • Produce posters and flyers and ensure these are displayed
  • Ensure all communications reflect the vision and values of the church

4. Record Keeping

  • Maintain an up-to-date church diary
  • Prepare and update church registers
  • Ensure all wedding, baptism, and funeral administration is accurate and properly filed
  • Prepare certificates for baptisms and weddings

5. Meetings

  • Provide administrative support for committee meetings, including agendas, minutes, and documentation
  • Attend fortnightly meetings with the Parish Priest for updates, briefings, and line management
  • Administer preparations for the APCM, including elections, the electoral roll, and annual reports
  • Maintain the Electoral Roll throughout the year
  • Organise Zoom meetings as required
