£20,666 with 5% pension contribution (£31,000 full time equivalent)

Hours:

25 hours per week

Job description:

Dudley Parish Churches are looking to recruit an Operations Manager who will be central to the efficient day-to-day running of the churches, by developing and supporting key operations including hall hire, financial administration, communications, governance, and supporting building maintenance.

This role will work closely with the clergy, churchwardens, treasurer and involves handling sensitive information with confidentiality and discretion.

This is a one-year, fixed term contract.

Key Responsibilities:

Operations Development

  • Review and update existing policies, procedures and systems across the churches
  • Develop, implement and maintain efficient operational polices and procedures to support the churches

Administration and Communications

  • Manage the churches’ inbox, ensuring timely follow-ups including bookings, meetings, enquiries etc.
  • Liaise with suppliers/contractors, keyholders, and relevant people to facilitate site visits e.g. heating engineers, cleaners, ensuring church is opened on time
  • Implement IKnow church package and ensure it is kept up to date
  • Implement the Life Events Diary to support clergy in booking funerals, weddings: arranging vergers, bell ringers, organists, checking for calendar conflicts etc.
  • Respond to email, phone, and in-person enquiries with clarity and professionalism
  • Print and distribute church communications (e.g., service sheets, notices, posters)
  • Design, edit, and circulate the Church Magazine
  • Manage social media presence with Diocesan Communications Team
  • Set up and update church website on A Church Near You
  • Support churches in populating rotas for services and activities
  • Ensure that worship leaders and welcome teams are aware of any visitors for services e.g. Banns being read, enquiries during the week etc.
  • Ensure church office supplies are maintained e.g. printer ink, paper, baptism cards, candles etc.

Building & Financial Processes

  • Handle all hall hire bookings from enquiry to invoice, maintaining booking records and contracts.
  • Ensure all service level agreements are accurate
  • Liaise with utility companies to find most cost-effective suppliers
  • Issue and track invoices related to hall use and follow up on payments.
  • Record and process payments, working alongside the treasurer where needed.

Gift Aid & Financial Support

  • Maintain accurate Gift Aid records and declarations.
  • Process claims using the Data Developments platform.
  • Provide administrative assistance for general church finances and fundraising records.
  • Issue and settle invoices relating to occasional offices
  • Grant application sourcing and writing

Staff Support - Provide admin support to:

  • Incumbent, church wardens and treasurer
  • Assist with compiling and formatting information for grant applications.
  • Support the safeguarding team, chasing individuals, assisting with DBS processes
