Job Description

Location: Address TBC but initially Citizens Advice North Lancashire,

        Oban House, 87-89 Queen Street, Morecambe, LA4 5EN

1.  Reporting to: CEO until Pride in Place Manager recruited

2.  Reporting to the Operations Coordinator: N/A

3.  Main Purpose of the Job:

a.  To support the Pride in Place project’s overall internal administration and

operations to facilitate the smooth running of the project

b.  To be responsible for the day to day operations of the Pride in Place

systems, policies and procedures and make sure they are implemented

correctly to ensure safety and compliance

c.  Leading on Facilities Management, governance administration, IT strategy,
risk management, Health and Safety and overall internal administration
including record keeping, and project management for capital assets
d.  To collate all grant applications and ensure a seamless communication

journey for applicants

Note: Employment is with Citizens Advice North Lancashire but day to day activities and

tasks are Pride in Place branded and run. You will not be working as a Citizens Advice

adviser at any time.

Main Duties & Responsibilities

The following will be managed and monitored using Specific, Measurable, Achievable,

Realistic, Timed SMART objectives, mutually agreed with line manager based on strategic

and operational plan of the Neighbourhood Board.

Day to Day Operations

●  To lead Facilities Management for the project, ensuring our spaces are safe, clean

and nice to work in

●  Project manage specific items as necessary
●  Monitor facilities spending to ensure it is warranted and required
●  Manage property, our asset register, leases and other agreements
●  To manage the IT infrastructure and telephones, ensuring that the correct

equipment is in place and functioning and that we have accurate records of who
holds devices and where

●  To be the point of contact for all technology providers and maintain a positive

relationship with suppliers of all kinds

●  To help update the Pride in Place website using the chosen CMS making sure

information is relevant, up to date and compliant

●  To be responsible for Health and Safety both in the office and at events, community

meetings and panel meetings

●  To ensure the correct risk assessments are carried out and updated as appropriate
●  You will be involved with the implementation and management of a CRM system,

ensuring the blueprint is replicated and the system is compliant with GDPR
regulations

●  To collate all grant applications and ensure due diligence is carried out, including

recording, reporting and monitoring. You will work with the Finance team to ensure

grants are paid and completed as directed by the Board

Relationships & Community

●  Be a trusted and confident member of the Pride in Place community, ensuring

compassion, understanding and empathy are paramount

●  Build and sustain good relationships with all suppliers and external partners
●  Report to and work alongside the Board where necessary
●  Communicate openly and honestly with residents in the West End ensuring

compassion, understanding and empathy are paramount

●  You will help facilitate community events and panel meetings in order to make

sure all events are well organised, safe and compliant

Compliance

●  Be compliant with data protection laws and use acceptable accessible methods

of data collection so not to discriminate or exclude

●  You will ensure compliance with systems, policies and procedures including but

not limited to GDPR, Safeguarding, EDI, and Cyber Security

●  You will follow agreed financial procedures as set by your line manager and/or

the Board

Training & Development

Identify and implement your own training and development needs

●
●  Keep up to date with legislation and policies and procedures relating to specified

areas

●  Attend relevant internal and external meetings as agreed with your line

manager

●  Prepare for and attend supervisions and team meetings as appropriate

Other Duties & Responsibilities

●  Be prepared for pre-agreed out of hours working to attend community events and

presentations etc. Flexibility to accommodate community engagement is required as
part of the role

●  Ensure compliance with Equality and Diversity policies for both Citizens Advice and

Pride in Place

●  Carry out any other tasks that may be within the scope of the post to ensure the

effective delivery and development of the service

●  Abide by Health and Safety guidelines and share responsibility for own safety and

that of colleagues and volunteers
