Role: On-line Shop AssistantLocation: Primarily Birmingham Museum & Art Gallery & Thinktank and Hybrid
We’re currently looking for an On line Shop Assistant on the following contract, to bring our museum shop to life!
Hours: Part-time - Monday & Wednesdays (7.4 hours per day)Contract: Fixed Term until 31st March 2027Salary: £10,379 per year
Purpose of the Role
The Online Shop Assistant will take ownership of the day-to-day operation and administration of the online shop, ensuring a high standard of customer service, accurate product management, and efficient order fulfilment. The role will support the continued growth of the online retail offer while working closely with the wider Retail team to deliver a seamless customer experience.
Key Responsibilties:
Online Shop Management
- Manage the day-to-day administration of the online shop.
- Process and monitor online orders to ensure timely fulfilment.
- Respond to customer enquiries promptly and professionally.
- Upload Royal Mail tracking information to Shopify.
- Upload new products and maintain existing product listings.
- Audit product information regularly to ensure descriptions, pricing, images and stock information remain accurate and up to date.
- Identify opportunities to improve the customer journey and online shopping experience.
Stock and Systems Administration
- Enter coordinators' purchase orders into Stocky.
- Maintain accurate product and stock records across relevant systems.
- Support the ongoing administration of Shopify and associated retail systems.
- Resolve routine HubSpot-related issues and ensure customer records remain accurate where required.
Reporting and Communication
- Produce a weekly online shop summary for the Retail Manager and Head of Department, outlining sales performance, completed actions, outstanding tasks and key priorities.
- Monitor online shop performance and highlight trends or opportunities for improvement.
- Gather updates and prepare information for scheduled monthly meetings regarding online shop performance, seasonal activity and future developments.
Cross-Team Working
- Liaise with the Bookings team regarding school goody bag orders.
- Work collaboratively with Retail Coordinators and other departments to ensure online orders and retail activity are managed efficiently.
- Provide support to the wider Retail team and physical stores as required, in line with business needs.
What We’re Looking For
- Previous experience of working within a similar on-line shop assistant role
- Previous retail or customer service experience (bonus if it’s in museums, heritage, or tourism — but not essential)
- An eye for detail and a knack for presentation
- Flexibility to work weekends, bank holidays, and busy holiday periods (if needed)
- A genuine enthusiasm for arts, culture, and Birmingham’s history
