The Office Manager is the bedrock of the David Nott Foundation’s (DNF) operations, ensuring the smooth and efficient running of the base from which the team delivers its mission of training doctors in countries impacted by conflict and catastrophe.
This role provides essential administrative and logistical support to the CEO and wider team, overseeing core operational functions including office administration, facilities management, HR administration, procurement, and organisational record-keeping. The role requires a highly organised, reliable and proactive individual who can manage multiple priorities and respond effectively to the day-to-day needs of the organisation.

Annual leave: 25 days per annum
Location: 193 Hercules Road, London, SE1 7LD. Expectation of 3-4 days in office per week, in co-ordination with Inventory & Procurement Manager.
Responsibilities
Office administration and operations
- Maintain DNF’s Office Handbook and ensure procedures remain current.
- Take and circulate meeting minutes where required, including quarterly Board Meetings.
- Maintain SharePoint filing systems and organisational records, ensuring accurate documentation and easy retrieval.
- Manage phone calls and general enquiries, responding to and directing requests appropriately.
- Provide administrative and logistical support to the CEO and wider team.
Procurement and inventory
- Coordinate and procure office and IT supplies, ensuring supplies and equipment are available and cost-effective.
- Support the Inventory & Procurement Manager on inventory of medical training materials.
Facilities and services management
- Coordinate building services, maintenance and external contractors where necessary.
- Support health and safety processes and maintain relevant documentation.
- Manage deliveries.
HR administration
- Administer staff leave records and HR documentation.
- Support onboarding of new staff, including preparation of materials and coordination of induction processes.
- Maintain records relating to staff training and development.
- Support Annual Appraisal administration and internal HR procedures.
- Coordinate team offsites, staff events and organisational activities (including working with the Fundraising & Communications team to deliver fundraising events such as Sips & Sutures, where we invite supporters of the DNF to join us for a drink and nibbles, learning more about our work and trying their hand at suturing).
Training and compliance
- Coordinate and track staff completion of required training, such as Health & Safety and Safeguarding.
- Maintain training records and support organisational compliance requirements.
Recruitment support
- Provide administrative support for recruitment processes, including coordinating interview schedules, candidate communication and supporting onboarding documentation.
Calendar and event coordination
- Manage scheduling and logistics for office-wide events.
- Support CEO and team calendar co-ordination where required.
IT and systems coordination
- Liaise with external IT support and providers to ensure smooth operation of office technology.
Person specification
