JOB DESCRIPTION NCSPIR Programme Administrator NCSPIR NCSPIR Programme Manager Nil Permanent (role is dependant on funding) Pro Rata up to £28,000 per annum 25 hours per week, c. 5 hours per day – Monday to Friday (On site) London min 1 day per week with remote working to meet business needs. Job title Department Line manager Direct reports Appointment type Remuneration Hours of work Location Purpose of the role The NCSPIRR Programme Administrator works as part of the NCSPIR programme team to provide excellent administrative support to the programme. Working closely with the Programme Manager(s), the role has a particular focus on ensuring the smooth administration of the National Centre. Key Areas of Responsibility Supporting Delivery • Providing excellent administration to support the smooth running of the programme. • Acting as the first point of contact for supervisors, practitioners and local authority contacts, responding to enquiries in a timely and engaging manner, to positively promote NCSPIR. • Maintain oversight of supervision groups, scheduling, attendance and programme activity, ensuring accurate tracking of delivery and planned sessions. • Daily review of evaluation data, maintaining an accurate oversight of completion rates and sensitively approaching supervisors to ensure surveys are sent and completed in a timely manner. • Providing delivery data to Programme Manager(s) as required. • Maintain the NCSPIR programme calendar, proactively managing availability and supervision • Supporting the evaluation of the Programme by ensuring accurate data is stored in an organised manner and available for analysis, reviewing, updating and logging changes as required. NCSPIR Programme Administrator –2026 • Support the running of NCSPIR conferences and events as and when needed, both online and in-person. • Digital set up of supervisions and events, and when necessary, set up of physical rooms. Careful attention to settings to ensure virtual rooms are set up in manner required. • Attending and provide administrative support to programme meetings as required. • Monitor evaluation data and survey completion rates, proactively working with supervisors to ensure timely submission of evaluation materials. • Monitor evaluation data and survey completion rates, proactively working with supervisors to ensure timely submission of evaluation materials. • Support the maintenance of positive, collaborative working relationships with all staff, service users, and stakeholders. • Maintain database and mailing lists, adding all new contacts and sending out material as required (Mail Chimp). Stakeholder engagement Digital Capabilities and User Support • Reviewing, maintaining and updating information on NCSPIR website, ensuring all content is up to date and relevant. • Assist in defining processes to support effective programme delivery, testing and responding to issues as they emerge • Supporting service users in use of digital platforms Collaboration & team development • Be a key member of the team and contribute to the achievement of NCSPIR and TR’s strategy and objectives. • Actively collaborate with colleagues across TR to ensure effective delivery of activities. NCSPIR Programme Administrator –2026 Skills and Experience • Strong organisational and coordination skills with the ability to manage multiple tasks and competing priorities. • First class communication skills- both verbal and written and the ability to share information with stakeholders in a clear and engaging manner. Experience in a customer facing role with good interpersonal skills and the ability to work with a wide range of people. • Able to manage competing demands, work under pressure and be highly responsive • Proactive and self-motivated, able to work well both under own direction and as a member of a team. • Proven administrative experience in a demanding environment, ideally in an educational/training setting. • Proficient in using Microsoft Office 365 software and confident using a range of digital platforms e.g. Zoom. • Previous experience in providing user support for IT platforms and digital systems. • Strong attention to detail and commitment to maintaining accurate records and data.
