Job Description Maintenance Person Responsible to Operations Manager Job Purpose Responsible for the upkeep and maintenance of all Hospice buildings, equipment and vehicles, ensuring repairs are completed to a high standard and comply with all current legislation. The post holder is expected to participate in a wide range of duties and ensure facilities and grounds are kept tidy, safe, secure, functional and in good condition at all times. Values The post holder will hold and engage with our organisational values; Together Excellence Actively Engaged Meaningful Compassion Accountability Respect Empathy Further information on our values and expected behaviours are listed at the back of this document Main Duties and Responsibilities • Carry out a variety of planned and reactive building maintenance tasks, which will be varied in nature and will include general building, joinery, tiling, painting, paving and external works, drainage works and plumbing. • Carry out planned preventative building maintenance in line with set programmes. • Undertake general facilities support tasks, including furniture building and loading and unloading goods/tools/equipment, furniture removals, grounds and site clearance, and keeping areas clean and tidy generally. • Work individually or as part of a team to complete repair and maintenance tasks. • Manage and prioritise own workload in order to complete repairs in a timely manner and in accordance with set timescales. • Use relevant IT systems to record all work undertaken and related expenditure where required. • • Undertake regular safety checks on vehicles used for work purposes as required by company policies and procedures to ensure vehicles are safe. In collaboration with the driving volunteers, maintain vehicle records as required and keep vehicles in a clean and tidy order, ensuring that vehicles are secure and correctly parked when not in use. • Adhere to Oakhaven’s health and safety policy and procedures, identify hazards and undertake point of work risk assessments as required. • Undertake inspections of buildings, grounds and equipment to determine works required and ensure safe working practices are in operation. Main Duties and Responsibilities • Communicate effectively with internal teams/departments to minimise inconvenience when planning and undertaking building maintenance. • Collaborate with operations team, wider organization, external contractors and other professionals in relation to jobs and renovations as required. • Oversee contractors and other workers who are unfamiliar with a building’s layout • Conduct maintenance and repair tasks as required, such as replacing light bulbs, repairing broken locks, filling gaps on walls etc. • Respond to repair and maintenance requests in a timely fashion. • Ensure buildings are in compliance with safety and quality regulations • including maintaining fire, water and other safety systems Inspect and troubleshoot equipment and systems, evaluating and repairing issues as they arise by following manuals, blueprints and other written instructions as appropriate. • Report any issues that require outsourcing or further action to Operations Manager and/or Facilities Administrator. • Requisition the necessary supplies, equipment and tools, monitor inventory and work within a budget to ensure best value for money. Install equipment and appliances in conjunction with third party suppliers • • Complete grounds maintenance tasks, such as weed spraying, car park line painting, path cleaning etc. • Keep maintenance schedules and records up to date, ensuring all kit and is well-maintained and serviced as per manufacturer’s equipment recommendations. • Ensure all work is carried out to the highest standard and complies with all relevant guidelines and legislation • Follow written and verbal instructions from the Operations Manager and facilities team (Facilities Administrator and H&S officer). • Maintain high standards across all buildings and organisational facilities. • Follow both internal and external building and trade regulations. • Conduct which meets the requirements for health and safety regulations. • Flexible working patterns in order to maintain the service at all times, including out of hours on-call requirement. • Any other reasonable duties which may be required to assist in the smooth running of the service. General Public Relations – To represent Oakhaven Hospice in the community and public domain as appropriate Personal Development – to keep up to date on current developments appropriate to duties and responsibilities of the post. To identify personal development needs with agreement of line manager. Training - To remain appropriately trained for the role and keep up to date with mandatory training requirements. Data Protection – To be conversant with the requirements of the Data Protection Act and ensure compliance in safeguarding confidential information. Infection Control - All employees must follow consistently high standards in the prevention and control of infection including adhering to infection prevention and control policies and procedures relevant to their work, in both non clinical and clinical settings. Health and Safety – To be aware of and comply with current Fire, Health and Safety Policies and Procedures operated at Oakhaven Hospice. Ensure risk assessments are conducted for each event and appropriate insurance cover obtained. Confidentiality – To be aware of the confidential nature of hospice affairs and comply accordingly. Finance – To act with a sense of integrity and sound judgment and to take personal responsibility for understanding and following all relevant financial policies. Additional Duties – In discussion with line manager to undertake work as and when required in support of Oakhaven Hospice. Notes OAKHAVEN HOSPICE • The post-holder may have access to confidential data on staff, patients and services within the hospice. Personal specification Requirement Essential Desirable Education, Training and Qualifications Relevant training in maintenance work Full UK Driving Licence City & Guilds /BTEC qualification OR similar certificates of competence Good standard of numeracy and literacy Health and Safety qualification Skills and Knowledge Basic knowledge of plumbing and electrical systems Effective communication skills with the ability to provide clear verbal and written information Excellent interpersonal and customer service skills for dealing with staff and customers at all levels Good time management with proven ability to meet deadlines and prioritise work as necessary to deal with multiple and competing demands on a regular basis Broad experience of completing builder's work and multi-skilled building maintenance tasks (e.g. brickwork, plaster and tiling repairs, patch painting, flooring repairs, and basic drainage and plumbing alterations). Experience using hand and electrical tools Ability to read technical manuals and drawings Experience Strong mechanical skills to operate equipment and repair systems Excellent diagnostic and problem-solving skills to identify issues and effectively deal with them Strong technical knowledge of practical / maintenance matters Knowledge of HVAC systems IT competent Experience in the use of maintenance equipment including hand tools, power tools, ladders and paint equipment. Previous experience in a healthcare environment.
