JOB PURPOSE

The Living Wage Administrative Assistant will provide general administration support to the implementation of the Living Wage Scotland programme.

JOB BACKGROUND

The Poverty Alliance acts as the national anti-poverty network in Scotland, with a growing membership amongst community and voluntary organisations, trade unions, faith groups, statutory bodies and others. We are financially supported to carry out this role by the Scottish Government and a variety of other local authorities and charitable trusts.

Set up in 1992, the Poverty Alliance has a long track record in working with individuals and communities facing poverty both to take action against poverty themselves as well as to have an influence over the solutions to poverty and social exclusion.

In 2014 the Poverty Alliance was provided with funding from the Scottish Government to establish the Scottish Living Wage Accreditation Initiative, now known as Living Wage Scotland.

The Living Wage Scotland programme is delivered by the Poverty Alliance in partnership with the UK Living Wage Foundation.

The intended outcomes of Living Wage Scotland are:

To increase the number of workers covered by Living Wage agreements by increasing the number of accredited employers in Scotland.

Improve the understanding of the role and function of the real Living Wage amongst employers in Scotland, across all employment types and sectors.

Create a better understanding of the impact of the real Living Wage on both staff and employers in Scotland

Support effective delivery of employer accreditation schemes offered through Living Wage Scotland, including Living Wage, Living Hours & Living Pension

The Living Wage has been one of the most successful civil society campaigns in Scotland and the UK in recent years. Not only has it won cross-party political support, and gained increased acceptance amongst employers, it has also delivered tangible benefits for thousands of workers. This post is an exciting opportunity to provide a valuable contribution to this work.

The post of Administrative Assistant will suit an individual who has a strong background and commitment to providing high quality administrative support to busy staff teams.

The post holder will be confident working in a team as well as under their own initiative and will have a professional outgoing manner.

JOB DESCRIPTION

The Administrative Assistant will be the first point of contact for enquiries received for Living Wage Scotland, and will be responsible for ensuring timely, accurate and professional handling of general enquiries, alongside appropriate referral and/or escalation of enquiries. Enquiries will present mainly via email, website, telephone, and face to face (for example at events).

The Administrative Assistant will support outgoing correspondence from Living Wage Scotland, including traditional postal letters, electronic mail merge and marketing campaigns via online systems (including Outlook, Salesforce & Brevo). The Administrative Assistant will be required to investigate and utilise new technology to support these functions.

The Administrative Assistant is responsible for providing support to all administrative aspects of Living Wage Scotland. This will include carrying out tasks to set up events related to the project, such as venue hire, purchasing merchandise, booking travel and accommodation. This will also include carrying out tasks to support employer engagement activities, such as desk-based research, compiling and recording new employer data, and general analysis of employer data.

The Administrative Assistant will be responsible for updating and maintaining the Salesforce database for the project and for the electronic filing of evaluation information.

The Administrative Assistant will regularly complete processes on the Salesforce system to maintain employer records, create reports and support employer

engagement activities, and support the maintenance of the Living Wage Scotland website.

The Administrative Assistant will also take minutes at meetings and provide transcription support when required. In addition, the post holder will also provide general admin support to all members of staff including word processing, photocopying, filing, distribution of mail, answering telephones and other duties as required and as directed by the Living Wage Scotland Projects Coordinator.

KEY DUTIES

  1. Provide general administrative support to members of the staff team involved in the Living Wage Scotland Programme.

  2. Process and record petty cash claims for staff and participants.

  3. Handle and direct all general enquiries presented to Living Wage Scotland.

  4. Maintain the Salesforce database and other project information systems.

  5. Utilise the Salesforce database and other project information systems to carry out tasks that support Living Wage Scotland’s employer engagement activities.

  6. Support the maintenance of the programme’s website.

  7. Carry out reception duties (answering telephone etc.) as required.

  8. Minute taking at Living Wage Scotland and Poverty Alliance meetings as required.

  9. To order stationery and other materials for Living Wage Scotland.

10.To organise transport and accommodation for staff or participants involved in Living Wage Scotland events or activities.

11.To provide logistical support for the project’s events, including booking venues, catering, travel arrangements, and reception duties.

12.To provide support for meetings, seminars, and other events organised by the Poverty Alliance where required.

13.To participate in staff team meetings.

14.To undertake other duties as required by the Living Wage Scotland Projects Coordinator.

PERSON SPECIFICATION

Essential Experience:

• Background and experience in general administration functions.

Good knowledge of word processing, email and spreadsheet computer packages.

Experience in database management.

• Experience of using content management systems to update websites.

• Experience in audio typing with digital recording software.

• Experience of providing transcription.

Excellent organisational skills.

• Excellent communication and interpersonal skills.

Commitment to teamwork.

• Ability to manage a varied and fast paced workload.

• Ability to work under pressure and meet deadlines.

Experience of event organisation, including travel and accommodation arrangements.

Desirable knowledge and skills:

• An understanding of poverty in Scotland and a commitment to addressing poverty.

• An understanding about the real Living Wage and Fair Work in Scotland.

• A relevant qualification in administration.
