Legal Administrative Assistant

ADF International is looking for a highly organized Legal Administrative Assistant to join us full-time. As a Legal Administrative Assistant, you are a vital part of the ADF International team in Washington, D.C. In this role, you will coordinate and provide legal administrative support to the Advocacy team, primarily in Washington, D.C, and report to the Legal Operations Manager.

Your Essential Responsibilities:

In this position, you will:

  • Coordinate and provide comprehensive administrative support to the Washington D.C Advocacy teams, based primarily in Washington D.C to ensure efficiency and effectiveness.
  • Answer phone calls, welcome visitors, schedule meetings, and manage calendars to ensure smooth daily operations that relate to the Advocacy Team.
  • Process invoices, expense reports, and support basic financial administration.
  • Act as the primary point of contact for internal stakeholders on matters related to the various Washington D.C Advocacy Team.
  • Work closely with the Directors of Advocacy and members of the different advocacy teams, keeping them informed of upcoming commitments, deadlines, and priorities.
  • Coordinate and support internal and external meetings, conference calls, conferences, and advocacy events, including logistics, invitations, agendas, catering when required, minute-taking, and follow-up on action points with Advocacy team members in Washington D.C and internationally, working together with Operations Team Members where necessary.
  • Arrange travel for the various Advocacy team members based in Washington D.C, their guests, and visitors.
  • Prepare, format, file, and maintain legal and advocacy-related documents, filings, correspondence, and records, ensuring accuracy, confidentiality, compliance with internal procedures, confidentiality, and accessibility.
  • Conduct legal and policy-related research to support advocacy matters, as required.
  • Draft, coordinate, edit, proofread, and format presentations, reports, briefing materials, memos, correspondence, and internal and external communications, including mass emails, with a high level of accuracy, consistency, and attention to detail.
  • Maintain and regularly update case file information and documents in the iReliance database in line with internal processes and procedures.
  • Assist in preparing cases and matters for review through our Grants and Funding Program as well as capturing updates.
  • Be part of our Legal Intake team responsible for reviewing and routing requests for assistance that come into the ministry.
  • Proactively monitor and track deadlines, deliverables, and action items to ensure timely follow-up and compliance.

Skills You Need to Succeed:

  • Strong legal research and analytical skills.
  • Strong computer skills, including experience with Microsoft Office software, including Word, Excel, and Outlook.
  • Attention to detail and strong time management skills with the ability to adapt to changing priorities.
  • Professionally handle confidential information.
  • Proactive communication and cultural awareness.
  • Clear written and verbal communication skills in a professional, international environment.
  • Good judgement and decision making under pressure.
  • Anticipate the needs of the team and to be proactive in this regard.
  • Coordinate and administer projects and assignments with little supervision.
  • Strong organizational and document-management skills.

Education and/or Experience:

  • Bachelor's degree or equivalent in law
  • At least 2 years of experience in the field or in a related area
  • Strong writing skills in English (native/bilingual), other languages a plus but not a necessity

Valid work permit for the United States of America or US citizenship required.
