Job Summary: To providing efficient, consistent and proactive customer-focused housing
services to tenants. To be responsible for all housing related duties, including record keeping
and safeguarding related to their work.
Background: The Retired Ministers Housing Society (RMHS) exists to assist retired and retiring
ministers to meet their housing needs during retirement, aiming to provide appropriate
housing suitable for long-term occupation. It maintains around 260 properties tenanted by
retired ministers, arranging inspections and repairs and manages around 20 properties
occupied as manses by centrally appointed ministers.
The United Reformed Church Retired Ministers’ Housing Society Ltd. is a registered
Community Benefit Society under the Co-operative & Community Benefit Societies Act 2014,
regulated by the Financial Conduct Authority (Number 15986R).

Principal responsibilities and duties
Housing Management
1. Work in accordance with RMHS policies, procedures and best practice to deliver high
quality tenant engagement resulting in high levels of resident satisfaction.
2. Undertake focused project work, in accordance with GDPR, Confidentiality and
sensitivity, to support the Housing Services Team achieve organisational targets, and
deliver excellent customer service.
3. Support residents to set up Direct Debits, record sensitive data confidentially and update
the database.
4. Provide a timely tenancy management service including; start of tenancy, tenancy
sustainment, and end of tenancy actions, recording repairs and maintenance and
ensuring organisation databases are accurate at all times.
5. Manage voids and ensure these are processed promptly and handed over to the Property
Transactions Officer promptly.
6. Act as primary point of contact for tenancy related enquiries and issues.
7. Update tenant records on Homemaster and ensure best practice in managing tenant
information and work to best practice for Knowledge and Information Management.
8. At the end of a tenancy ensure properties are returned to RMHS in a timely manner,
handed over to the Property Transaction Officer/ Surveyor for sale or refurbishment.
Liaise with Surveyors to arrange for the property to be inspected at the end of a tenancy.
9. Gather data from the annual tenant surveys and record this on the database.
10. Monitor rent accounts and proactively contact tenants where an arrears balance is noted.
11. Achieve individual KPI’s within the timeframe set out and contribute to the achievement
of team KPI’s.
12. Always ensure compliance with GDPR, Safeguarding and RMHS policies.
13. At all times, demonstrate a commitment to providing a first-class customer service and
act as an ambassador for the organisation.
Administration, Financial and General
1. Undertake all administration relating to own area of work, including but not limited to
notes, correspondence, updating systems and filing.
2. Monitor and action required work in the Housing Services inbox throughout the day.
3. Notify the Head of Housing of the death of any retired minister / spouse and update the
database.
4. Ensure tenancy related data is maintained, accurate and up to date at all times.
5. Notify the Head of Housing Services of any Subject Access Requests and the URC Head of
Compliance before responding. .
6. Monitor monthly rent arrears via the monthly Rent Arrears report. Identify and carry out actions to
address the arrears. Update the Head of Housing with any ongoing arrears.
7. Any other duties commensurate with the role as required.
