The Head of Operations will play a key role in ensuring the smooth functioning of the organisation and working with the Senior Management Team (SMT) in developing the new strategic direction and future of the organisation and its work. If you are an experienced Operations lead, you will understand how key this role is to an organisation’s success and as part of the SMT, you have the opportunity to drive change. THE ROLE The core operations and smooth running of any charity require management of essential affairs, including support for the CEO/SMT/Board of Trustees, Employee Wellbeing, Compliance, Premises, HR, IT, Change Management, and Risk Management. As Anti-Slavery International is entering a period of significant workplace transformation, including further possible outsourcing of HR & IT and seeking agile ways of working to support a new future direction, identifying new solutions, suppliers, and partners will form an essential part of this role. This role will report directly to the CEO and ensure that Anti-Slavery International is an inclusive, fair, efficient, compliant, well-managed, and continuously improving organisation (includes training, safeguarding, health & safety, risk management, travel & security, legal, Equality, Diversity, and Inclusion and wellbeing). MAIN TASKS Operations Leadership • Line manage, support, and develop a team to provide operational support across the organisation. This role would additionally manage multiple external supplier relationships. • Share the overall Leadership of the charity day-to-day: as a member of the senior management team, feed into future strategic direction, input into problem-solving, and participate/share overall operational management of the charity of Anti-Slavery International, working closely with the CEO and other senior management peers. Support for the Board, CEO & SMT • Support the CEO, SMT and the Board with Board meeting agendas, meeting logistics, paper distribution, and minute taking. • Support the CEO and Board in promoting a culture of continuous improvement and effective and inclusive working methods. • Support progress tracking and administration for business plans and implementation of key strategies. • Support the CEO with creation, development and updates to Risk Management Registers. • Support the CEO on an ad-hoc basis with logistics and planning for team meetings, away days/workshops and external events. • Support the CEO and Board Chair with confidential matters arising, serious incident reporting or regulatory inquiries/correspondence with the Charity Commission. Compliance, Policy & Procedures • Refresh and update workplace policies and procedures and present them for union feedback and Board sign-off on a renewal schedule or as legal requirements change. • Oversee tenancy/building compliance with fire safety, GDPR, and health and safety legislation. • Ensure Charity Commission filings and inquiries are managed promptly. • Coordinating proactively with the Finance Director to ensure other timely regulatory reporting and filing, and maintaining a schedule for the charity to ensure timely compliance with other regulators such as HMRC and VAT (via Director of Finance), Fundraising Regulator (via Head of Fundraising), EHRC (Pay Gap Filing). • Act as Data Protection Officer • Safeguarding of staff from an HR perspective as well as supporting partners and ensuring appropriate systems for interactions with survivors and those with lived experience. • Ensure the proper and safe planning of travel, updating the Travel Manual and providing support to colleagues travelling on Anti-Slavery International business. Employee Experience • Act as an intermediary between employees and external support suppliers for induction and troubleshooting, including HR, Payroll, Finance, Training, Employee Assistance Programme (EAP), Compliance, Premises and IT, to ensure staff have the support they require and access to the information needed to work at Anti-Slavery International effectively. • Develop ideas with the union and staff and CEO to improve staff representation, inclusion and voice. • Develop best practice for agile working, democratic engagement, respectful discourse and non-hierarchical decision-making (where possible). • Develop proposals and implement changes to improve the employee experience at Anti-Slavery International – identity, teamwork, connection, and alignment to Anti- Slavery International’s mission. • Support the CEO and SMT with staff team meetings, and the Trade Union Reps with organising, action tracking, and minute-taking. • Ensure standards and methods for Equality, Diversity and Inclusion, safeguarding, compliance, and employee support are well understood and practised. • Manage staff feedback, including via an anonymous mailbox. Communications • Support the CEO and SMT with internal communications. • Support the Board with internal communications. • Oversee SharePoint usage and administration. • Work closely with the Communications & Impact Manager to ensure that what is messaged internally is appropriately messaged (where relevant) in external domains. Change Management and Procurement • Manage important change projects for the charity to support new future direction, strategy refresh, and operational improvements. • Oversee procurement for new suppliers and quality assure existing suppliers. • Act as a project management officer, coordinating updates to Board-agreed change plans and actions. PERSON SPECIFICATION Essential • Demonstrable experience as an Operations leader within the Charity/NGO sector. • Excellent knowledge of HR and best practices within policy and procedures • Excellent practical knowledge of IT and understanding of GDPR • Excellent understanding and knowledge of charity governance. • Facilities understanding and willingness to learn. Desirable • Knowledge of fire safety and first aid. • Working experience with the Charity Commission • Knowledge and application of employment law • Familiarity with HR platforms Benefits Annual leave entitlement of 30 days (on a pro rota basis) plus bank holidays.
