Grants & Major Donor Manager

Full-time, £40k p.a.

Job purpose

The Grants & Major Donor Manager will play a central role in developing and securing income
from trusts, foundations and other grant making bodies, to support the development and
growth of services provided by Bath Preservation Trust (BPT). The postholder will work with
teams and individuals throughout the organisation to support the development and framing of
viable projects, along with reporting and fulfilment of funders expectations. They will also
support staff through training and mentoring to foster a culture of fundraising.

Working closely with the Chief Executive and the Board of Trustees, the postholder will
provide exemplary stewardship of major donors and the cultivation of meaningful
relationships to ensure alignment of values and fulfilment of expectations for all parties.

Drawing on a strong background in charitable fundraising, the role will require excellent
communication, the writing of compelling funding applications, accurate reporting, and active
contribution to the organisational strategy around income growth and development.

The Grants and Major Donor Manager will work closely with the Senior Management Team to
design and deliver an ambitious but appropriate fundraising pipeline that supports core
programmes, growth initiatives, and long-term sustainability. You will also contribute to
cross-team collaboration—ensuring fundraising aligns with organisational mission,
programming, and impact.

Responsible to the Finance Director and working closely with the CEO and trustees

Terms

Salary: £40,000 per annum

Working hours: full-time at 35 hours per week, with occasional evening and weekend working
required.

Location: your primary office base will be No. 1 Royal Crescent, Bath BA1 2LR and you will be
required to work in any of BPT’s locations.

Contract: permanent following satisfactory completion of a 6-month probationary period

Key Responsibilities

1. Grants & Trusts Fundraising

•

Identify, research and prioritise suitable trusts, foundations, lottery funds, and statutory
grantmakers matched against BPT project priorities

•  Prepare compelling funding bids supported by strong narrative, budgets, and

evidence of impact.

•  Manage grant reporting, ensuring all monitoring, evaluation, and compliance

requirements are met on time.

•  Build and maintain an active pipeline of prospects and multi-year funders, to provide a
clear picture of the fundraising environment and tracing the emerging priorities of
funders.

2. Major Donor Fundraising

•  Maintain and manage relationships with major donors and potential high-value

supporters.

•  Support cultivation events, one-to-one briefings, tailored proposals, and other

stewardship activities, including the production of supporting literature.

•  Deliver excellent supporter experience with personalised communication at all stages.

•  Provide briefings to key staff and trustees about event attendance and appropriate

engagement with major donors.

3. Strategic Fundraising Development

•  Contribute to the organisation’s overarching fundraising strategy, including income

targets and forecasting.

•  Analyse performance and recommend tactical or strategic improvements.

•  Work collaboratively with internal teams to ensure new projects are shaped and tuned
to maximise opportunities to secure grant funding, matching the priorities of grant-
makers.

•  Stay engaged and up-to-date with ethical practice in fundraising, including a values

based approach to uphold BPT’s reputation and engagement with appropriate grant-
makers.

4. Relationship Management

•  Maintain effective records of fundraising applications, including all grant conditions

and agreements.

•  Working closely with the Finance Director, ensure the timely reporting of outputs,

outcomes and achievements realised through grant supported activities on behalf of
delivery teams.

•  Represent the organisation at events, funder meetings and briefings. Engage with any

local or regional fundraising networks as appropriate.

•  Produce high-quality written materials including case studies, pitch decks, donor

updates, and reports to be used internally and externally.

•  Provide updates to trustees at Board meetings and committees from time to time.

5. Systems, Impact & Compliance

•  Working with the BPT Executive Administrator, maintain accurate donor records and

reporting schedules using existing systems.

•  Monitor budgets and financials related to grant-funded programmes.

•  Support organisational understanding of impact measurement to strengthen

fundraising narratives.

•  Seek continual opportunities to improve systems and reporting to support the

effective provision of the role.

6.  General

•  All staff are expected to be responsible for onsite security, including opening, locking
up, setting alarms as required and responding to occasional out of hours alarm call
outs as appropriate.

•  Uphold the working values and expectations of BPT in relation to Equalities, Diversity

and Inclusion (EDI), policy, guidance, Health and Safety and Safeguarding and fulfil this
expectation in relation to all staff, trainees, visitors and other people engaged with
activities.

Person Specification

Essential Experience & Skills

•  Minimum 3 years’ experience in a charity fundraising role within the sector(s) of arts,

museums, heritage, community or other related subjects.

•  Proven track record in securing income from trusts, foundations or other grant-making

bodies.

•  Excellent bid-writing skills and ability to communicate complex work with clarity and

impact.

•  Strong relationship-building and stewardship skills.

•  Ability to manage multiple deadlines and produce accurate, timely reporting.

•  Confident communicator able to represent the organisation externally.

•  Excellent organisational skills and strong attention to detail.

•  Supporting staff to create and develop projects which provide a compelling case for

funding.

Desirable Experience & Skills

•  Experience in legacy giving, endowment fundraising or corporate partnerships.

•  Experience coordinating or supporting fundraising events or donor cultivation

activities.

•  Ability to create powerful case studies or impact stories that bring beneficiaries’

experiences to life.

•  Knowledge of fundraising regulations and CRM/database systems.

•  Existing networks within the philanthropic or funding community.
