Job Description
Fundraising Assistant
Hours: Full-Time (37.5 hours a week) in line with flexible working policy.
Remuneration: £26,227.5 - £27,000 based on experience
Type of contract: Permanent
Location: Hybrid (minimum of two days per week to be worked from Leukaemia Care offices at One Birch Court, Blackpole East, Worcester, WR3 8SG)
Report to: Head of Public Fundraising
Working closely with: Fundraising, Communications, Patient Services and Finance teams.
Purpose of the role:
This role includes a mixture of administrative, customer service and operational support to the fundraising team and directly with the charity’s fundraisers and donors.
This is an opportunity for someone looking to begin or progress a career in fundraising. Ideal for someone who enjoys a combination of administration, database work and dealing with people.
You will have great customer service skills, attention to detail and a positive attitude. You will be equally able to work on your own initiative, as well as being a supportive colleague in a close-knit team.
Ideally, you’ll be able to drive and have access to a car.
Main Duties and Responsibilities
Support the delivery of financial and non-financial targets through administration, customer service and operational activity for:
- Fundraisers
- Donors
- The Fundraising Team
Fundraisers
Ensure fundraisers are thanked appropriately for sponsorship and funds raised in a timely manner.
Produce and send thank you letters and certificates to fundraisers to celebrate their achievements.
Facilitate the team in stewarding corporate partners, charity of the year businesses or groups and those who organise their own ‘in aid of’ fundraising event or activity - before, during and afterwards. Always promoting safe and legal practices.
Assist the team with stewarding sign-ups for initiatives like Christmas Jumper Day or Spot Leukaemia, ensuring supporters have the materials and information they need to take part successfully.
Administer the collection tin and bucket process - number, label, seal and package ready for dispatch and immediate use. Accurately record tin and bucket host and location details on relevant spreadsheets and the database. Monitor distribution and returns.
Prepare and fulfil fundraising material orders as requested by the fundraising team or fundraisers directly. This includes running vests and promotional materials such as posters, banners and bunting.
Donors
Help ensure individual donations received are thanked appropriately and in a timely manner.
Work with the Senior Fundraiser to administer the Celebration Wall rolling programme, ensuring orders are fulfilled and are on display for the correct period.
Process online and offline donations from appeals and campaigns, accurately recording on relevant spreadsheets and the database. Assist with producing and sending appropriate appeal thank you communications in a timely manner.
Update the database where ‘return to senders’ are received.
Process and fulfil fundraising related online shop orders. Prepare and package with care, ready for dispatch in a timely manner. Update the shop system and databased accordingly. Including but not limited to:
- Christmas cards
- In memory funeral envelopes, wedding favours and birthday cards
- Clothing and merchandise
- Gift in Wills information or fundraising welcome packs
Assist donors as they make donations over the telephone, online or via cheque. Occasionally, collecting and accepting donations on behalf of the charity in person.
Positively respond to donation payment issues on behalf of the team (failed card payments or uncleared cheques). Contact the donor or fundraiser with high levels of supporter care and the aim to re-secure the donation. Support the finance team to resolve issues, where possible.
Fundraising Team Support
Monitor the online post log for incoming postal donations and communications, responding accordingly.
Monitor the general fundraising and/or events email inboxes. Action and respond to general queries, fielding the more complex queries to the relevant team member or department.
Support the fundraising team with in-house letter, newsletter or event materials mail-outs.
Help make welcome, good luck or thank you telephone calls.
Ensure that fundraising equipment, materials and merchandise is organised and safely stored. Monitor stock especially after use. Keep the store-room tidy and organised and support the fundraising team in replenishing stock levels. Place orders with suppliers via the purchase order process.
Provide administrative support to the challenge events team in the lead up to events.
Provide back-up support by attending some events to help cover cheer-points, steward participants and volunteers on the day. Support the set up and set down of cheer-point areas.
Be the ‘Gift Aid champion’ for the team. Help maximise on Gift Aid income by encouraging and collecting declarations from supporters and updating the database accordingly. Adhere to Gift Aid eligibility rules.
Help organise external venue bookings for fundraising events and co-ordinate any internal office-based fundraising activity. Including room bookings and helping to host visitors. For example, a networking ‘get to know Leukaemia Care’ face to face event.
Alongside the Volunteer Manager and Fundraising team, support and guide any office-based volunteers.
Relationship Building
Represent the organisation at fundraising events and donation/cheque presentations as required.
Give thank you acceptance speeches in person, online or by video message.
Actively build supporter relationships through personalised emails, phone conversations as well as online and in person meetings.
Assist in sharing supporter stories, successes, photographs and videos. Work with the Communications team to capture and publish through various communication channels.
Cross-selling
Assist the team to promote, encourage and cross-sell the many ways to get involved that directly, or indirectly, generate income or other benefits including but not limited to:
- Challenge Events
- Donations and Matched Funding
- Payroll Giving, Regular Giving, Lottery
- Celebration Giving, In Memory, Community
- Initiatives such as Collections, Recycling or Christmas Card sales
- Corporate, Trusts and Foundations
- Gift in Wills
- Gifts in Kind, Pro-bono, Sponsorship
- Volunteering and Campaigning
- Raising awareness – cause related or leukaemia signs and symptoms.
Fundraising General and Best Practice
Comply with The Fundraising Regulator’s Code of Fundraising Practice.
Adhere to all relevant financial procedures and cash handling processes.
Assist with general fundraising enquiries including taking donations over the telephone.
Ensure supporter contact information, communications, notes and gifts are recorded on the organisation’s database.
Help ensure fundraising information on the organisation’s website and literature is up to date.
Assist in the development and production of high-quality fundraising materials, working with the Communications team on hard-copy and digital items.
Be available to work outside of standard office hours from time-to-time (including evenings and weekends) when fundraising events or activity require additional support.
Provide cover within the team during periods of annual leave, sickness or where extra resources are needed.
