Job Description Job Title: Finance Assistant Responsible To: Finance Manager Department: Finance Date of Issue: March 2026 About the role As Finance Assistant, you will support the day-to-day financial operations of the Kingswood Foundation’s Senior School, working closely with the Finance Manager and the wider Finance team. The role provides involvement across a range of core finance activities, helping to ensure that financial processes operate smoothly and efficiently while offering practical experience across several areas of the Finance function. Your work will include invoice processing and purchase ledger administration, bank postings, billing and sales ledger support, and assisting with payroll processes, alongside general financial administration. You will work closely with colleagues across the Finance team and communicate regularly with staff across the school, as well as with external suppliers and parents, providing professional and responsive support for finance-related queries. Key Responsibilities Purchase Ledger • Register and post supplier invoices to the finance system and purchase ledger. • Monitor outstanding invoices and follow up on unapproved items. • Assist with processing supplier payments, including Direct Debits. • Reconcile supplier statements and allocate payments accurately. • Respond to supplier and internal invoice queries in a timely and professional manner. Billing and Sales Ledger Support • Post charges to pupil billing accounts for all schools within the foundation. • Raise nursery invoices. • Assist with reconciling billing and sales ledger accounts. • Respond to parental enquiries regarding billing queries in a timely and professional manner. • Raise sales ledger invoices for non-fee-related items. • • Assist with the Bursary Application process. Set up and process transactions on the parent payment portal (SCOPAY). Banking and Receipts • Post daily bank transactions and allocate receipts appropriately. • • Deposit charity collections each term and record transactions accurately. Support the posting of billing receipts and other income. Payroll Support • Assist the Payroll Accounts Assistant with routine payroll tasks. • • Assist with reconciliations and documentation related to payroll processing. Support payroll administration and data preparation. Finance Administration • Assist with maintaining financial records and documentation. • Provide administrative support for finance processes, including bursary reviews where required. • Support colleagues within the Finance team with ad hoc tasks and projects. No job description can fully cover all aspects of the role and consequently the responsibilities are likely to evolve and change over time. Skills, qualifications and experience You will demonstrate excellent customer service skills, with a professional, helpful and approachable manner when responding to enquiries from colleagues, suppliers and parents. You will possess strong written and verbal communication skills and be confident working within a finance or accounting environment. You will be proficient in Microsoft Office, particularly Excel, Word and Outlook, and will bring a high level of attention to detail to ensure accuracy in financial processes. You will be highly organised, with the ability to manage multiple tasks and priorities effectively, working both independently and collaboratively as part of a team. You will also demonstrate sound problem-solving abilities and a clear understanding of financial controls and the importance of maintaining accuracy and integrity in financial records. Experience in processing purchase ledger invoices, posting bank transactions and reconciling accounts, or supporting payroll processes would be advantageous. Familiarity with finance systems such as WCBS PASS, as well as software including Famly EYE and iSAMS or similar school management systems, would also be beneficial. Previous experience working within a school or charitable organisation would be considered an advantage. If, in the course of carrying out the duties of the post, you become aware of any actual or potential risks to the safety or welfare of children in the school, you must report any concerns to the School’s Designated Safeguarding Lead. Protecting children from the risk of radicalisation is part of the School’s safeguarding duties (under the Prevent Duty). Competencies The Kingswood Competency Framework sets out the expected level of performance at a given level – the ‘competency profile’. The competency profile is used to support objective setting, appraisal, and continuous professional development planning. Competency Profile: Level 7 – Team Member (Proficient in Delivery): A coeducational, independent boarding and day school for 9 months to 18 years. Terms and Conditions This is a full-time, year-round position with a standard working week of 37 hours. Normal working hours are 8.30am to 4.30pm, Monday to Thursday, and 8.00am to 4.00pm on Fridays, with a 30-minute unpaid lunch break each day. The role offers a paid holiday entitlement of 6.6 weeks per year (equivalent to 33 days), inclusive of public bank holidays. While the School typically closes for a period over Christmas, the specific dates are determined annually by the Senior Management Team. Any additional non-working days granted during this closure period are discretionary and do not form part of the contractual holiday entitlement. The salary for this position is £28,000 per annum.
