Facilities & Operations Assistant (Maternity Cover)

- Role: Facilities & Operations Assistant
- Hours: 35 hours per week, 09:00 – 17:00 Monday to Friday
- Location: HMS Excellent, Whale Island, Portsmouth PO2 8ER
- Salary: £23,200 to £25,000 per annum dependent upon experience
We are currently looking for a Facilities & Operations Assistant to join our Business Operations team, reporting to the Facilities & Operations Manager. This is a fixed-term contact providing maternity leave cover until September 2027.
Role Responsibilities
As our Facilities & Operations Assistant you will be responsible for supporting the smooth day‑to‑day running of the office and facilities, delivering a broad range of operational, administrative, and support services across facilities management, IT coordination, office administration, and visitor services.
Responsibilities include but are not limited to:
- Supporting day‑to‑day building operations including liaising with suppliers, raising maintenance requests and monitoring works.
- Assisting with health & safety compliance, including fire alarm testing, record keeping and supporting evacuations.
- Maintaining asset registers and coordinating equipment, IT assets and office supplies.
- Acting as a first point of contact for internal IT queries and coordinating with external IT support providers.
- Supporting security and access processes including passes, visitor management and liaison with site security.
- Providing administrative support including post handling, inbox/telephone support and general office tasks.
- Assisting with reception duties and ensuring a professional experience for visitors.
- Supporting office moves, events, and wider operational projects as required.
- Assisting with the management of pool vehicles including bookings, maintenance and record keeping.
- Maintaining office and kitchen supplies to support staff and visitor needs.

Job Requirements
Our ideal candidate will have hands on experience in an operational support role. They will be highly organised with the ability to prioritise tasks within a busy and varied workload, whilst always maintaining a high level of accuracy and attention to detail. The role will suit a confident self-starter with a positive and flexible approach and an ability to remain calm under pressure.
Please be aware all roles require the right to work in the United Kingdom; sponsorship of such right will not be provided. The successful candidate will also require a satisfactory DBS check and additional security checks as required.
