£43,000 - £48,000 plus benefits 

Reports to: Chief Financial Officer 

Hours: Full time 35 hours per week 

Location: Stratford, London, office-based with high flexibility (1-2 days per week in the office)

We’re looking for an experienced and highly organised Executive Assistant to join us. In this pivotal and varied role, you will provide full personal administrative support to the Chief Financial Officer, supporting them in the strategic aims and goals of the directorate and acting as an ambassador across the organisation. You’ll work as part of a team with other EA and PAs to deliver the best outcomes for CRUK.

What will I be doing? 

  • Organise and maintain complex diary schedules for the CFO whilst being reactive to change, ensuring updates are communicated effectively.

  • Management of inbox to either act or flag issues so that CFO can prioritise.

  • Support the organisation with events/conferences. Manage room booking and catering for meetings.

  • Management of all directorate meetings and events, including engagement groups, monthly leadership meetings, annual planning meetings and away days – owning this process and ensuring events are delivered to budget and on time, liaising with the central internal comms team for consistent org-wide messaging.

  • Manage all documentation needed for meetings, including slide decks and content for the briefing process for Executive Board events, agendas, slide decks and minutes for senior leadership meetings.

  • Organise all travel and accommodation requirements for the CFO, producing clear and concise schedules.

  • Work with PAs and EAs for updating org charts and distribution lists within the Directorate.

  • Work with centralised internal comms and collaborate with comms champions and peers to support the development and timely delivery of local key messages. Take a lead role in the development and delivery of directorate wide communications including regular all staff briefings, newsletters or other routine communication channels.

  • Support the CFO with taking on tasks for new hires/leavers and administration around line management as directed.

What are we looking for? 

  • Experience of providing close, effective support at Executive Director level, including diary management, document preparation (PowerPoint presentations, meeting agendas, correspondence) and minute taking.

  • Excellent communication skills and ability to communicate effectively at all levels

  • Ability to draft appropriate comms for different audiences –on behalf of the leadership team and CFO

  • Proactive and self-motivated

  • Ability to network and work as part of a team with other EAs and PAs and team administrators

  • Excellent prioritisation and time management skills

  • Ability to maintain confidentiality and use discretion and diplomacy

  • Identify and understand the needs of others and manage expectations

  • Ability to work with minimum supervision and keep to deadlines

  • Creative and forward thinking – championing new ideas and process improvements.

  • Familiarity with financial systems & financial concepts would be advantageous.
