JOB TITLE: Exams Officer (The Gregg School)

Accountable to: Assistant Headteacher

Hours: 20 hrs per week – term time only equivalent (35 weeks) To be worked flexibly with the opportunity to claim additional hours where this is appropriate

Responsible for: All aspects of the administration of external and internal examinations

Salary: £26,600 - £29,542 (Scale D1) FTE pro rata

ROLE SUMMARY:

To be responsible for the effective administration of all aspects of the organisation, planning and staging of public and internal examinations at the school, and to ensure that the school operates efficiently and within statutory requirements as a centre for GCSE and iGCSE examinations.

KEY RESPONSIBILITIES:

The key responsibilities for this post are set out below but it should be noted that this is not an exhaustive list and there may be other matters that should reasonably be asked of the post holder.

• To plan for and manage all aspects relating to external and internal examinations at the school

Keeping up to date with the regulations, exam board requirements and associated guidance relating to the conduct of GCSE/iGCSE examinations, and to ensure that arrangements at the school meet these requirements

Liaising with heads of department and teaching staff to ensure they are kept informed of the latest exam board regulations and updates

• Managing the process and arrangements for entering students for GCSE/iGCSE exams with heads of department

Recruiting, providing appropriate training, deploying and supervising invigilators to ensure they are competent and operate within the regulations

• To be responsible for the secure storage of exam papers and associated paperwork, and to ensure security of exam papers at all times

• Development and publication of the annual calendar of GCSE/iGCSE exams

• To liaise closely with the SENCO, Assistant Headteacher(s) and Deputy Head to plan and provide for special access arrangements for students sitting external exams

Downloading of GCSE/iGCSE results as they are released from the exam boards and organisation and management of the arrangements for ‘Results Day’

• Managing the process and arrangements for remarks/appeals with heads of department

• To be responsible for the arrangements for Year 11 Mock Exams, Year 10 Exams plus annual internal baseline assessments (MIDYIS) and KS3 assessments

• To ensure effective and timely communication with all stakeholders to include parents, heads of department, teaching staff and external bodies

• To ensure that the required regulatory and exam board policies are in place and reviewed and maintained as required

• Any other duties associated with internal and external exams deemed appropriate by line manager.

POSITION IN THE ORGANISATION:

Reporting to: The designated Assistant Headteacher

Responsible for: Administration of internal and external examinations

COVER FOR ABSENCES:

The post holder will not be expected to cover for absent colleagues except under exceptional circumstances.

REVIEW OF JOB DESCRIPTION AND ROLE:

This Job description and role will be reviewed by the post holder and their line manager no later than one year from the post holder’s commencement date. Any changes or amendments within the year will be in discussion with the post holder.

OTHER RESPONSIBILITIES:

To undertake any reasonable school specific duties that aid the smooth running of the school.

Rehabilitation of Offenders Act 1974

This post is subject to an exception order under the provisions of the Rehabilitation of Offenders Act 1974. This stipulates that all previous convictions, including those that are ‘spent’ must be declared.
