Events & Project Officer

If you’re a master organiser who wants to use your logistics skills to save lives in war and catastrophe, this role is for you.
This role leads on the planning, coordination, and delivery of our UK and overseas frontline surgical courses. As our primary point of contact for event logistics, budgets, communications, and on-site delivery, you will work closely with the Comms team, Finance Manager and Executive team to ensure our events run smoothly and achieve maximum impact. You’ll also provide administrative support to our medical teaching faculty and wider programme activity, from arranging hands-on workshops to bringing together the staff, donors and volunteers who make our mission possible.

Responsibilities
Events management and administration
- Own the planning, coordination, and delivery of our events, including surgical training, staff and faculty gatherings and workshops.
- Liaise with venues, caterers, speakers and suppliers to secure the best terms and ensure all logistical aspects of events are managed efficiently.
- Develop and maintain event timelines, budgets and checklists, tracking spend against budget and reporting on outcomes.
- Manage event communications, including invitations, RSVPs and post-event follow-up with attendees and stakeholders.
- Oversee the creation of event materials such as programmes, signage and presentations.
- Maintain accurate records of event attendance, feedback and outcomes to inform future planning and demonstrate impact.
- Lead on-site delivery during events, managing suppliers and volunteers, and resolving issues as they arise.
- Work with the communications team to promote events pre- and post-delivery, and to share outcomes through our channels.
- Evaluate each event against objectives and budget, producing short debriefs to inform future planning.
Programme development and support
- Assist in planning overseas programme operative and training missions, and support pre-course administration for our Hostile Environment Surgical Training UK course, faculty induction, and Train the Trainer courses.
- Support security risk assessments and help mitigate risks associated with deployments and missions by information gathering.
- Manage course logistics including venue bookings, travel, security planning, visa and passport applications, vaccination requirements and preparation/shipment/customs clearance of training materials.
- Support post-training evaluation, including student feedback and end-of-mission reports.
- Support our Country Representatives and Development Manager in our dealings with the Foundation’s contracted teaching faculty.
Programme delivery
- Provide direct administrative support to the course director for UK-based courses.
- Act as UK-based travel support manager, as directed, providing logistics cover for overseas missions.
Administration
- Support the executive team in monitoring progress on key projects and initiatives.
- Work with the Finance Manager to track invoices and payments for teaching equipment and course expenditure.
- Manage office administration (e.g., taxi bookings, office supplies).
- Other administrative tasks as required.
Person specification
We recognise that the right person might come from a background that has not enabled them to gain the advantages sometimes available to others. - Demonstrable experience planning and delivering events is strongly preferred, ideally across a mix of formats (training workshops, public engagement, staff/volunteer gatherings) and with direct supplier and budget management experience.
- Knowledge of, and keen interest in, public health, current affairs, the humanitarian sector and international relations.
- Proven ability to manage own workload, organising and prioritising tasks to meet deadlines.
- Good communication, interpersonal and writing skills.
- Ability to manage time-sensitive work in a fast-paced environment.
- Excellent organisational skills with an ability to establish tools for effective workload management.
