PURPOSE

Reporting to the Head of Marketing and Events, this role is responsible for the planning,
delivery and evaluation of a diverse programme of events across Portsmouth Historic
Quarter (PHQ), including the Portsmouth Historic Dockyard site and Priddy’s Hard,
alongside o(cid:431)-site events that extend PHQ’s reach and profile.

The objective of the events programme is to drive visitor numbers, audience engagement,
income generation and placemaking through high-quality events ranging from large-scale
public programmes to community partnerships and venue hires, ensuring all activity is
delivered safely, creatively and in line with PHQ’s charitable objectives.

DUTIES

EVENTS MANAGEMENT

1.  Develop a year-round programme of public events, activities and programmes across

Portsmouth Historic Quarter.

2.  Deliver a mix of large-scale public events (e.g. exhibitions, seasonal programmes,
commemorations) and smaller-scale activities (e.g. workshops, talks, pop-up
exhibitions and private and community events) across PHQ and act as the lead for
other events where PHQ has presence

Act as primary contact for venue hire enquiries, managing and facilitating the hire
process from initial enquiry through to delivery. Liaise with internal teams including
operations, marketing and catering to ensure smooth delivery.

4.  Manage event schedules, production timelines and on-the-day operations.

Ensure buildings are prepared to facilitate activities, including booking cleaning and
maintenance works.

6.  Work closely with marketing colleagues to support the promotion of events and

activations, providing clear event information and schedules to support campaigns.

In conjunction with the Head of Marketing & Events manage event and activation
budgets, monitoring spend and income against targets.

Build realistic event budgets, negotiate e(cid:431)ectively with suppliers and partners, identify
opportunities to generate revenue and make practical decisions that ensure events
are delivered cost-neutral or profitably

9.

Track event performance using agreed KPIs including attendance, income, audience
feedback and operational learning.  Produce post-event reports and
recommendations to inform future programming.

10.  Build a professional network with external partners, commercial clients, artists,

heritage and community groups to e(cid:431)ectively deliver the PHQ events programme.

HEALTH & SAFETY

11.  Act as event Duty Manager as required, taking operational responsibility for the safe
and e(cid:431)ective delivery of events. This includes leading on-the-day decision-making,
conducting health and safety briefings for event sta(cid:431) and volunteers, ensuring
compliance with relevant legislation and organisational procedures, and responding
appropriately to incidents or emergencies. Work closely with the Health & Safety
Manager to complete event risk assessments, method statements and event
management plans.

12.  Ensure all events and hires comply with relevant health & safety legislation,

safeguarding requirements and site-specific constraints.

13.  Actively promote and support a positive and pro-active health and safety culture both

within BH4 and across PHQ.

14.  Comply with the Health & Safety Policy and any health and safety instructions relating

to the role or working environment.

15.  Take reasonable care of own health and safety and that of others (e.g. PHQ colleagues,

tenants, volunteers, customers, visiting members of the public), by observing safety
rules and reporting health and safety risks and hazards.

16.  The post holder must comply with PHQ’s current Data Protection & Information
Security Policy and Privacy Notices when processing personal data during
employment, including personal data relating to any employee, volunteer, worker,
contractor, supplier, customer or member of the public.

19.  Undertake vehicle escorting through the Naval Base for event-related suppliers, hire

partners etc.

GENERAL

20.  Carry out any other duties as may reasonably be required within the overall level of

responsibility for the post.

21.  Work outside of normal o(cid:431)ice hours on an ad hoc basis and work occasional

weekends to support event set-up and delivery.
