Day Service Coordinator – Job Description Reports to: Hours: Type: Salary: Day Services Manager 37.5 (Some evening or weekend work may be required with time off in lieu) Permanent £29,148.00 to £32,116.00 per annum depending on experience The College is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff and volunteers to share this commitment. Landmarks is an independent specialist day college for young people with learning disabilities and difficulties. The college offers a wide range of programmes that are tailored to each individual’s needs. Landmarks operates from several sites across; Nottinghamshire, Derbyshire and South Yorkshire, with our main site located in Eckington, S21 4EF. Landmarks has several satellite provisions in Rotherham, Nottingham city Centre and a “real- life” hospitality and catering facilitate in Rainworth, Mansfield. There may be a requirement to transport learners in your own car, insurance Page 1 implications are reimbursed. Mileage and expenses are provided for travel during the working day. Purpose of the role Act as the operational lead to run a safe, well organised Day Service each day. Own the daily rota and cover, medication systems and audits, file compliance and trackers, assessment and review logistics, and first line family communication. Model high quality delivery and coach staff in session Main Responsibilities: Your responsibilities will include, but are not restricted to: Daily operations and rota • Produce the daily rota and manage short notice cover by 08:50 • Escalate risks to the Manager and enact contingency plans • Coordinate transport and site logistics as directed • Be the first operational contact for day to day matters • Be a designated safeguard officer, if required. Medication safety • Lead safe administration and storage of medication at site level • Maintain medication documentation and conduct 2 and 4 weekly audits • Organise training updates and competency checks Admissions, assessments and reviews • Complete learner assessments when delegated and arrange start up plans • Attend reviews, minute actions and complete follow up documentation on time Records, MIS and compliance • Check files, trackers and MIS entries are current and audit ready • Maintain spreadsheets for attendance, interventions and outcomes • Prepare packs for internal and external audits People and session leadership • Line manage assigned staff through induction, supervision and appraisal Page 2 • Coach in session and lead short learning walks or spot checks • Deliver one to two sessions per week as needed to model best practice Welfare and attendance • Coordinate daily attendance triage and targeted interventions with clear outcomes and timescales • Liaise with families and external partners on day to day matters and record impact Estates and health and safety • Complete site checks, equipment checks and drills. Record and resolve actions • Report incidents and near misses promptly and follow up learning Communication and administration • Manage routine correspondence, minute meetings and maintain calendars • Provide weekly summaries to the Manager on rota, files, medication and welfare Base • Site based with regular cross site working This list of duties should not be regarded as exclusive or exhaustive as the post holder may be required to undertake other reasonably determined duties and responsibilities.
