Who we are

Tyneside and Northumberland Mind are an independent, local charity that delivers
mental health services across the whole of Tyneside and Northumberland.

We  exist  to  promote  positive  mental  health,  providing  flexible,  responsive  and
sustainable support services to those in the Tyneside and Northumberland area.

We offer a range of services, including counselling, a listening service, wellbeing
groups and training based on the principals of wellbeing, recovery, resilience and
prevention.

Our vision is for everyone with a mental health problem to be in control of their
own lives and get the support they need from people they trust!

Our Leadership Team

Our  Leadership  Team  ensures  the  direction  and  strategy  set  by  our  Board  of
Trustees is implemented effectively for the benefit of the users of our services.
The team is made up of a forward thinking and dynamic group of professionals who
between them have many years of experience in delivering mental health services,
running charitable organisations, and working closely with both socially excluded
groups and vulnerable people and communities.

Our Board of Trustees

Our Board of Trustees is responsible for our governance and strategic direction
and is led by our Chair Lyn Simpson. Our Board is accountable for everything we
do,  including  settling  our  strategic  direction,  evaluating  our  performance,  and
supporting and empowering our Leadership Team, staff and volunteers. We have
10 trustees on our Board, and they reflect our diverse communities.

The Mind Quality Mark

As part of the National Mind Network, Tyneside and Northumberland Mind (a local
Mind) is assessed by a robust quality assurance framework created and set out by
Mind called The Mind Quality Mark (MQM). MQM sets out the  baseline of best
practice  and  legal  compliance  in  all  areas  of  a  local  Mind’s  governance  and
activities.  To  achieve  the  MQM,  a  local  Mind  must  meet  or  exceed  all  24  key

About the role

Job title: Data and Reporting Officer

Responsible to: Data, Governance, and Risk Manager

Hours: Part time, 28 hours per week

Based at: Hybrid role (offices in Gateshead and Newcastle)

Contract length: 2 years

Salary: £ £18,918.92 pro rata (£25,000 Full Time Equivalent 37 hours).

Purpose of job:
The  Data  and  Reporting  Officer  will  support  us  in  collecting  and
communicating  data  about  our  support  services.  You  will  help  us  to
demonstrate our impact to commissioners and stakeholders. You will also
help  us  to  design, monitor, and  refine  the  services  we  offer,  developing  a
consistent evaluation and reporting style across a range of projects. In this
role, you will work primarily on the data collection and reporting for a new
project,  our  High  Intensity  Service  User  (HISU)  Pilot  Project.  The  HISU
project  supports  adults  who
frequently  attend  NHS  emergency
departments,  NHS  111  option  2  for  mental  health  crisis,  and  local  Primary
Care Networks within Newcastle and Gateshead.

This  is  an  exciting  new  role  for  the  organisation,  and  you  will  have  the
opportunity to develop other areas of focus in partnership with the Data,
Governance, and Risk Manager. The Data and Reporting Officer role will help
us to enhance how we collect, process, and communicate data across the
organisation. Working with sensitive, confidential, and commercial data, you
will bring technical expertise in building dashboards and visuals to convey
the  impact  of  our  mental  health  services.  You  will  work  closely  with  our
service  delivery  managers,  with  opportunities  to  upskill  colleagues  and
support them with data handling and performance monitoring.

Key Responsibilities

Project Reporting and Evaluation
  Support project evaluation by helping define scope and objectives for

specific projects, gather data, and interpret results.

  Collaborate with project delivery teams to identify, measure, and report

on Key Performance Indicators (KPIs).

  Produce clear, easy to understand reports, visuals, and dashboards with

a consistent style.

  Communicate and transform data for managers with limited technical

expertise.

  Present data reports to demonstrate outcome improvements and

identify risks or gaps in service.

  Help upskill other team members to use tools such as Power BI and

Excel for their own reports.

Administration and Development of Client Relationship Management
Software (CRMs)
  Assist with the administration of our CRMs and databases, including

Charity Log, by refining field sets, carrying out data quality checks and
improvements, fixing inconsistencies, and troubleshooting issues.

  Proactively contribute to improving CRM functionality by identifying
issues, highlighting areas of concern, and suggesting enhancements.

  Support the development and implementation of agreed processes to

improve efficiency and data quality, ensuring best practice in day-to-day
use.

  Help maintain CRM configuration and functionality in line with

organisational needs, implementing agreed changes under the direction
of the Data, Governance and Risk Manager.



Identify training needs within the team relating to CRM use and provide
support with training, helping colleagues apply agreed processes and
good practice in day-to-day use.

Additional Responsibilities
  Assist non-technical teams, helping them to use CRMs correctly,  to

choose and measure KPIs, and to use data tools effectively.

  Assist with routine auditing of data, systems, and processes by carrying
out checks, preparing information, and flagging issues, following agreed
frameworks and guidance.

  Provide technical input for the Data, Governance, and Risk Manager to

support with work on systems and change management.

  Support monthly NHS dataset submissions by assisting with data

cleaning and validation.

  Support the Data, Governance and Risk Manager and wider team with
other tasks appropriate to the role, for example incident tracking,
GDPR compliance, or relevant policy and process reviews.

Person Specification

Essential Criteria
  Strong applied data skills.

  Experience using Power BI, Power Query, Excel, and similar tools.

  Capable of building interactive dashboards which convey key

information simply and clearly.

  Confident ensuring data quality and troubleshooting.

  Patient and supportive when working with non-technical teams.

  Skilled in coaching people without overwhelming them with technical

detail.

  Organised and methodical, with the ability to manage competing

priorities and set clear boundaries.

  Collaborative and respectful, able to work in partnership while

maintaining clarity around roles.

  Proactive about spotting issues and suggesting improvements.

  Good working knowledge of UK GDPR, confidentiality, and data

protection, especially when working with health data and other special
category data.

Desirable Criteria
  Familiarity with NHS reporting or public sector reporting.

  Understanding of health outcomes and/or service delivery models.

  Experience working with Charity Log CRM.

  Experience working or volunteering in a mental health setting.

  Experience working or volunteering in the non-profit or charity sector.

Training

We are committed to ongoing learning and development for this post. Training and
support will be provided as part of the role, and we will help you get to know our
key systems, such as Charity Log.

Location and travel requirements:

This job is a hybrid role, and you will have the option to work flexibly at home and
on site. You will be required to work a minimum of one day per week at one of our
offices in central Gateshead or central Newcastle. You may be asked to work on
site more regularly as projects require, and some occasional travel may be required
to meet with teams or attend organisational events. Your working pattern will be
agreed with the Data, Governance, and Risk Manager on appointment.

Probation

The appointment is subject to a probation period of 6 months.

Expenses

Out  of  pocket  expenses  will  be  payable  at  rates  set  out  in  Tyneside  and
Northumberland Mind's expenses policy.

Holidays

Holidays are calculated on a pro-rata basis for part time staff. The full time (37
hours)  allowance  on  appointment  is  24  days  +  8  days  bank  holidays  =  32  days
total. Holiday allowance increases with service.
