About the role:

We are looking for a highly organised, proactive and detail-focused Course Administrator to support the smooth running of our BSc (Hons) Acupuncture programme.

This is a pivotal role within our Administration team. You will help ensure that academic processes run efficiently, deadlines are met, and documentation is accurate and compliant. Your work will directly support students and the staff team, forming the backbone of a high-quality student experience.

You will be the kind of person who enjoys bringing order to complexity, spotting inconsistencies, and quietly making sure things run as they should.

Role details:

Location: York (with some flexibility for hybrid working where appropriate)

Hours: 21–28 hours per week (0.6–0.8 FTE)

Working pattern: Includes Monday working and very occasional weekend support (e.g. graduation ceremony)

Salary: Spinal Point 14: (21 hours) £18,083.52 – £24,111.36 (28 hours) (full-time equivalent £30,139.20)

Reporting to: Registry & Student Services Manager

What you’ll be doing:

As Course Administrator, you will play a key role in ensuring the effective and compliant administration of the BSc Acupuncture programme. Your work will span academic processes, data management, and student support systems.

You will:

  • Support the organisation and delivery of key academic processes including assessment scheduling, marking coordination, and exam boards
  • Assist with the collation, checking, and verification of student marks and assessment records, ensuring accuracy and consistency
  • Maintain and update course documentation and student records in line with regulatory and institutional requirements
  • Organise and support academic committees and boards, including agendas, papers, minutes, and action tracking
  • Produce accurate and timely minutes, ensuring clear recording of decisions and actions
  • Support HESA and other internal/external data returns, ensuring accuracy and compliance
  • Assist with timetabling processes and the coordination of teaching schedules
  • Support academic staff processes including onboarding, appraisal administration, and peer observation tracking
  • Help manage student feedback processes, ensuring timely collection, analysis, and communication of outcomes
  • Support engagement with external examiners, validating partners, and regulatory bodies
  • Contribute to continuous improvement of administrative systems and processes

This is a varied role where no two weeks are the same, and where accuracy, initiative, and calm organisation make a real difference.

What we’re looking for:

Essential:

  • Experience in an administrative role within education, training, or a regulated environment
  • Experience supporting structured administrative processes (e.g. assessments, committees, timetabling, or data reporting)
  • Experience working with multiple deadlines and competing priorities
  • Experience handling confidential or sensitive information appropriately
  • Strong organisational and time management skills
  • High level of accuracy and attention to detail
  • Strong written and verbal communication skills
  • Ability to produce clear, accurate minutes and formal documentation
  • Strong IT skills, including Microsoft Word, Excel, and PowerPoint
  • Ability to work independently and as part of a team
  • A proactive, calm, and reliable approach under pressure

Desirable:

  • Experience in higher education or a specialist training environment
  • Experience supporting formal committees or governance processes
  • Experience with systems such as Moodle, SharePoint, or Salesforce
  • Familiarity with external reporting processes (e.g. HESA returns)
  • Understanding of academic validation or regulatory frameworks
