As the Copyright & Archive Coordinator, you will play an important part in supporting our work and protecting the content that helps millions of learners every year.

You will support the day-to-day work of the copyright and archive team, helping to make sure material is used responsibly and stored carefully. Your work will help protect our content, support colleagues across AQA and make information easy to find and use. You will collaborate with internal and external stakeholders and need to have a good understanding of copyright law. You’ll have the freedom to work independently, supporting two Copyright & Archive Managers and use your initiative to prioritise and co-ordinate a range of work. You’ll pride yourself on your outstanding customer service and you won’t be phased by the prospect of lending library software and archival database systems in addition to M365 suite.

In this role, you’ll be responsible for: 

  • Managing and responding to copyright and archive enquiries in a clear and professional way

  • Coordinating copyright requests and records to ensure material is used correctly

  • Supporting the upkeep of the archive and library, including maintaining accurate records

Summary

Landscape: The Copyright & Archive team are responsible for obtaining copyright permission, and in supporting the business to ensure that we are copyright compliant where we use 3rd party materials. As part of this, we offer expert advice on copyright law, including training on AQA copyright policies and procedures. We protect the intellectual property of AQA, including licensing AQA materials and the AQA logo and dealing with copyright infringements online. We maintain the main AQA archive which we make available to both internal colleagues and external research customers as well as providing a library function (including the purchase of books and resources) for the use of all colleagues.

Activities:

Customer (Internal & External) - Build and manage exceptional relationships with our internal and external customers, delivering a best in class service that meets our customers’ needs. Take ownership of email/written queries relating to copyright and archive work to ensure a professional image is maintained at all times. Efficiently coordinating the receipt of copyright requests and the dispatch, processing and updating of records in relation to AQA’s use of third-party material and the protection of the Intellectual Property of AQA, to an agreed standard of accuracy and timescale. Co-ordinate any customer-related 3rd party work arising from our growing customer offer.

Internal processes – Work collaboratively with the Copyright & Archive Managers in a range of tasks with a high degree of personal responsibility and judgement to support the smooth operation of the team whilst working to a high standard of accuracy defined by the manager. When requested, maintain the AQA libraries and archive including scanning, importing and downloading materials. Research information from various sources including the internet and specialist organisations, as well as to download images and to undertake this work with limited supervision.

Finance - Planning and coordination for the most efficient use of resources whilst maintaining a background awareness of the need for timeliness, under the direction of line manager

Technology - Maintain co-ordinate appropriate information record keeping, archiving and retrieval systems both manual and electronic, ensuring accuracy and consistency of working systems. Operate systems related to the work of the Copyright and Archive team.

Government & Regulation – Work with the Copyright Managers to obtain copyright licences. Proactively protect AQA’s Intellectual Property and reputation, minimising risk by complying with all terms and conditions issued by copyright holders and agencies such as MPA, Ordnance Survey etc. Coordinate the issuing of take-down notices for the removal of illegally used AQA materials from platforms and websites when notified of them.

Need to know (to be successful in this role, you will need to know):

General understanding of copyright law.

How to be flexible to meet the changing needs of the team and the business.

How to prioritise and co-ordinate a range of work with minimum supervision, work independently and take initiative.

Be willing to understand a range of manual and electronic administrative systems.

Technical knowledge in the use of IT (including Microsoft Office Suite) as well as ability to adapt to the use of library software, archival database system and Centre Services system.

How to co-ordinate and deliver customer centred service in a timely way.

Have excellent written and verbal communication skills.

Build and maintain positive working relationship with a range of individuals and external stakeholders.

Ability to work at pace and deliver accurate outcomes.

How to pay attention to detail and be accurate.
