Job Description Compliance Maintenance Technician Responsible to Operations Manager Job Purpose The Compliance Maintenance Technician plays a crucial role in supporting the daily activities of Operations department. This role involves performing maintenance inspections, maintaining tasks, conducting compliance documentation, and supporting the overall safety and efficiency of the hospice and retail locations, ensuring compliance is maintained in all areas. Values The post holder will hold and engage with our organisational values; Together Excellence Actively Engaged Meaningful Compassion Accountability Respect Empathy Further information on our values and expected behaviours are listed at the back of this document Main Duties & Responsibilities Estate Operations • • Ensure completion of all testing as per statutory or relevant guidelines at appropriate intervals (e.g. PAT, fixed appliances, lifts, fire/security/patient alarms, asbestos, lightning conductors, Legionella, etc.). Coordinate with the Operations Manager for any required remedial work. Typical activities include, but are not limited to: • Water Temperature monitoring. • Flushing of infrequently used outlets. • Descaling showerheads. • Fire equipment & fire door checks and testing. • Emergency light testing. • Testing of a variety of alarm systems, including fire alarms, patient call points, panic buttons. • Medical gas checks • Vehicle checks • Action plan monitoring and update • Conduct inspections and preventative maintenance on equipment and systems to ensure they meet compliance requirements. • Maintain the Estate fleet, including ensuring legislative compliance for tax, service, insurance, and MOT. • Work closely with internal teams and external contractors to support emergency response activities (e.g., power failures, flooding, etc.), ensuring resources and workload are managed effectively. • Perform routine maintenance tasks ensuring adherence to safety and compliance standards. • • Identify and address potential compliance issues during maintenance activities. Support the maintenance team Inspections and Audits • Conduct regular inspections of facilities and equipment to ensure compliance with statutory and regulatory requirements across the estate as well as internal policies. • Document findings and follow up on corrective actions as necessary. • Monitoring and update of action plans Documentation and Reporting • Maintain accurate and up-to-date records of maintenance activities, inspections, and compliance audits. • Use the Vantage software to receive daily/weekly job tickets, update activities and asset information. General Maintenance • Working in line with the planned preventative maintenance schedule, lead on completion of proactive/routine maintenance tasks, including but not limited to: • Cleaning and unblocking of gutters and drains • Cleaning and replacement of signage as required • Cleaning of security cameras • Jet washing of hard standing areas • Painting and decorating. • Support the team in carrying out reactive maintenance tasks, as required. Additional Responsibilities • With direction from the Operations Manager and external consultants, remain up-to-date with all appropriate practices and regulatory requirements within allocated areas of responsibility and undertake duties in line with established practices and protocols. • Working with the Operations Administrator, serve as joint Fire Officer, during emergency evacuations • Undertake appropriate training to ensure that skills remain up- to-date and commensurate with the first-class service required for this role. • Drive company vehicles in pursuance of your duties, as requested, and as authorised. • Establish and maintain effective communication channels and efficient/effective working relationships with other colleagues, customers and third parties. • Provide cover for reactive maintenance team, as required • Any other duties as required to ensure the smooth running of the Operations Department. Public Relations – To represent Oakhaven Hospice in the community and public domain as appropriate Personal Development – to keep up to date on current developments appropriate to duties and responsibilities of the post. To identify personal development needs with agreement of line manager. Training - To remain appropriately trained for the role and keep up to date with mandatory training requirements. Data Protection – To be conversant with the requirements of the Data Protection Act and ensure compliance in safeguarding confidential information. Infection Control - All employees must follow consistently high standards in the prevention and control of infection including adhering to infection prevention and control policies and procedures relevant to their work, in both non clinical and clinical settings. Health and Safety – To be aware of and comply with current Fire, Health and Safety Policies and Procedures operated at Oakhaven Hospice. Ensure risk assessments are conducted for each event and appropriate insurance cover obtained. Confidentiality – To be aware of the confidential nature of hospice affairs and comply accordingly. Finance – To act with a sense of integrity and sound judgment and to take personal responsibility for understanding and following all relevant financial policies. Additional Duties – In discussion with line manager to undertake work as and when required in support of Oakhaven Hospice. OAKHAVEN HOSPICE Notes • The post-holder may have access to confidential data on staff, patients and services within the hospice. Personal specification Requirement Essential Desirable Education, Training and Qualifications Good general level of education Previous experience working in the healthcare sector Training in principles of Health and Safety including COSHH Skills and Knowledge Experience Previous experience working in an estates/facilities/operations department Knowledge of building maintenance and statutory testing requirements Excellent knowledge of health and safety and COSHH Excellent interpersonal skills with the ability to engage with stakeholders at all levels, both internally and externally. Organisational and time management skills to effectively manage workload Ability to work to deadlines/changing demands. An understanding of health and safety legislation and experience in completing estates compliance activities Knowledge of a variety of maintenance duties Team working, relating well to others, providing help and support when needed Keen attention to detail Strong planning, prioritisation and record keeping skills Ability to work on own initiative, and in a fast-paced environment Previous experience in completing estates/facilities compliance tasks Proven ability to plan and prioritise own workload and activities, with many competing demands exercising discretion as to the degree of urgency, importance and confidentiality required to ensure goals and targets are met Practical experience of undertaking audits, inspections, and risk assessments Personal Attributes Self-motivated and enthusiastic Highly organised and dependable Appreciation of working in a hospice environment A good understanding of the purpose, values and strategy of Oakhaven Hospice Punctual, reliable and able to work effectively without direct supervision A completer/finisher who is detail focussed and practically minded Willing to go above and beyond when needed Flexible and committed approach to work, including a willingness to work unsocial hours if necessary
