For over forty years it has supported poets to develop, grow and champion performance poetry for everyone, delivering fearless, high-quality and innovative programmes with the power to change lives. It nurtures artists, builds young people’s confidence and oracy, supports a national community, and brings the best in performance poetry to wider audiences. Apples and Snakes foregrounds Black British poets and creates platforms, connections and opportunities for poets to be seen. From first-time performers to established names, it empowers poets from underserved backgrounds to grow their craft, find their voice and make a living doing what they love. Working regionally and nationally it brings performance poetry to schools, libraries, festivals, playgrounds and stages, working with over 4,000 children and young people across England each year, and with organisations including Young Identity, Gobs Collective, UniSlam, Lewisham Looked After Children, Southbank Centre, Roundhouse, Sky Arts and the BBC. Apples and Snakes is a registered charity and an Arts Council England National Portfolio Organisation. applesandsnakes.org Role Overview We are seeking an experienced, highly organised, and proactive Company Administrator to play a central role in the smooth and effective running of the organisation. This is a senior administrative position embracing administration, finance, compliance and office management and requiring a high level of autonomy, judgement, and discretion. This role is suited to a proactive administrator with significant experience, who enjoys responsibility, has a strong attention to detail, and the confidence to manage multiple responsibilities independently. Working with the Artistic Director/CEO and Head of Administration and Operations you will ensure Apples and Snakes operates effectively, improving systems to ensure accurate records and efficient processes and supporting a values-driven arts organisation. Please note whilst we are a creative organisation, this is an administrative role requiring someone who has strong administrative skills. We are committed to tackling Anti-Black Discrimination. To be worked Monday - Thursday e.g. 09:30 - 14:30 or 09:30 – 15:00 including 30-minute lunch - with occasional in-person meetings as required. Reports to: Artistic Director/CEO and Head of Administration and Operations Salary: £22 p/h for 20 hrs p/w Role Summary The Company Administrator will support the overall company administration, including (but not limited to): Finance & HR Administration ● Acting as a central point of contact for general email and phone enquiries (the post-holder will be responsible for the company mobile phone. ● Overseeing day-to-day financial administration, including invoicing, purchase orders, expense claims and record-keeping ● Maintaining accurate records, including contracts, policies, and staff files ● Supporting recruitment, including on-boarding and off-boarding processes ● Monitor staff holidays and sickness Office & Systems Management ● Ensuring efficient office systems and administrative processes are in place and regularly reviewed ● Managing the company’s databases (Airtable), filing systems (G-Drive), templates and digital tools ● Responsibility for writing contracts and ensuring Equality and Diversity monitoring is completed ● Supporting data protection and GDPR compliance ● Supporting trustees with governance processes and induction ● Managing policy review schedules and organisational compliance processes Senior Support & Organisational Coordination ● Providing high-level administrative support to Artistic Director/CEO and Head of Administration and Operations ● Coordinating internal communications and scheduling of internal meetings, staff days, Board meetings etc. ● Contributing to organisational planning and co-ordination by improving systems and workflows ● Coordinating travel, accommodation, meeting refreshments etc. as required You will attend company meetings, taking minutes & recording action points and will update project documents as required for programming, budgeting, and monitoring purposes (using Asana, Airtable, Microsoft Word, Excel and Google Docs, Sheets and Drive) Person Specification: Essential ● Significant experience in a senior or company administration role ● Strong understanding of governance, compliance and organisational procedures ● Excellent organisational and time-management skills ● High level of accuracy and attention to detail ● Confidence working independently and managing competing priorities ● Excellent written and verbal communication skills ● Strong IT skills (including Microsoft Office / Google Workspace, Asana and Airtable) ● Experience supporting board governance ● Knowledge of HR processes and basic finance administration ● Familiarity with accounting software (e.g. Xero) We are now predominantly a remote working organisation, although we have an office at The Albany in Deptford, London. All staff attend regular team days in London and any staff who live within commuting distance of the office work from the office on Tuesdays. Standard working hours for this role are Monday - Thursday 09:30 - 14:30 or 09:30 – 15:00 including 30-minute lunch) with occasional in-person meetings as required.
