Your contribution will be

  • Providing administrative, operational and organisational support to the Project and Campaign Management Director and wider department (10+ staff members), including managing the Director's calendar, coordinating travel arrangements, supporting budget tracking, expense reporting, and other ad hoc priorities
  • Supporting the coordination and delivery of projects and departmental initiatives by monitoring progress, tracking timelines and budgets, maintaining project documentation, and ensuring alignment with agreed objectives and deliverables
  • Researching, analysing and preparing project briefs, summaries, reports, presentations, statistics and other materials to support project planning, monitoring and decision-making
  • Compiling, maintaining and monitoring project plans, status updates, action logs, risk registers and other project management documentation to support effective delivery and governance
  • Maintaining CRM and other databases, departmental planning tools, project tracking systems, organisation-wide calendars and other shared activity management platforms
  • Facilitating collaboration within and across departments by planning, coordinating and facilitating inter-departmental and cross-departmental meetings, workshops and project sessions, ensuring productive discussions, clear outcomes and timely follow-up of actions.
  • Organising team meetings, workshops, training sessions and other departmental events, including coordinating logistics, booking venues and preparing supporting materials.
  • Ensuring adherence to organisational policies, procedures and governance requirements within departmental operations and project activities
  • Identifying opportunities to improve departmental processes, project coordination practices and administrative systems to enhance efficiency, consistency and effective project delivery

Your profile ideally illustrates

  • Experience in an administrative, project coordination or project management support role, ideally within an international NGO, charity or similarly complex, multi-stakeholder environment
  • Experience supporting project planning, implementation and monitoring, including coordinating multiple workstreams, maintaining project documentation, tracking budgets, timelines, risks and actions, and supporting governance processes
  • Fluent spoken and written English language skills; additional language skills are an advantage.
  • Relevant educational and professional background in business administration, project management or a related field
  • Proficiency in Microsoft 365 applications, particularly Outlook, Word, Excel, PowerPoint and Teams, with experience maintaining project management systems, CRM and other databases, producing reports and presentations, and supporting budget tracking and project administration
  • Excellent communication, facilitation and interpersonal skills, with the ability to build effective working relationships, coordinate cross-functional teams and work collaboratively within an international environment
  • Proven ability to manage multiple priorities, coordinate competing deadlines and maintain a high level of organisation, accuracy and attention to detail in a fast-paced environment
  • Strong problem-solving skills with the ability to proactively identify issues, improve administrative and project coordination processes, and support the successful delivery of projects
  • Demonstrated ability to work independently, exercise sound judgement, handle confidential information with discretion, and adapt to changing priorities
