Care Services Administrator

Location – Nr Stroud

Salary –  £25,995.62 FTE, £13,864.33 PT

Hours – 20 hours per week (Monday to Friday, 10:00 – 14:00)

Are you an organised, compassionate and proactive administrator looking to make a meaningful difference? We are seeking a Care Services Administrator to join our dedicated Care Services team, supporting both the Living Well and Hospice at Home services.

This is an important role at the heart of our hospice, ensuring that our clinical teams are fully supported so they can continue delivering outstanding care to patients and families.

The Role

You will provide comprehensive administrative support to ensure responsiveness, efficiency and high-quality service delivery across Care Services. Acting as a key point of contact, you will support referral processes, maintain accurate patient records, and help coordinate staff and service activities.

Key Responsibilities

Administration

  • Receive enquiries and patient referrals, supporting referral processes for the Living Well and Hospice at Home teams
  • Maintain accurate and up-to-date electronic and written patient records, including referrals, visits and discharges
  • Adhere to procedures for the electronic patient record system
  • Monitor staffing availability, annual leave and sickness
  • Process staff timesheets and expense claims in the absence of the Hospice at Home Co-ordinator
  • Support data collection to monitor and maintain service delivery
  • Coordinate mandatory training bookings for Care Services staff
  • Provide general administrative support to Hospice at Home, Living Well, and project/service development work
  • Support ordering of uniforms and non-disposable equipment for the Hospice at Home team

Communication

  • Act as a consistent and professional telephone presence for the Living Well and Hospice at Home teams
  • Communicate effectively with patients, families, carers, hospice colleagues, healthcare professionals and social care staff
  • Ensure timely communication of important information relating to staff and patient activity
  • Use a variety of communication methods (email, telephone, written and face-to-face) while maintaining confidentiality at all times
  • Facilitate internal team communications and administrative pathways
  • Maintain up-to-date mandatory training requirements

Co-ordination

  • Plan and schedule Hospice at Home staff visits when required
  • Receive and respond to feedback constructively to help maintain high professional and care standards
