We are looking for an organised, proactive and detail-focused Administrator to join our team and provide efficient and effective administrative support across a diverse range of business functions.
About the Administrator Role
This is a varied role that will provide administrative support across fleet management, driver compliance, subcontractor and supplier administration, waste disposal, utilities and finance.
You will play an important role in ensuring company records are accurate and up to date, key deadlines are monitored, statutory and regulatory requirements are met, and day-to-day operational processes run smoothly.
What You’ll Be Doing
As an Administrator, you will:
- Coordinate and maintain accurate fleet records, including MOTs, servicing, repairs, insurance and driver compliance.
- Arrange vehicle servicing and repairs with garages and suppliers and monitor key fleet deadlines.
- Carry out regular driver licence and compliance checks and maintain accurate records of qualifications and licences.
- Support the onboarding and ongoing administration of subcontractors, ensuring all required documentation is complete and current.
- Maintain waste disposal records, coordinate waste transfer notes and liaise with waste providers to ensure relevant environmental requirements are met.
- Set up and maintain supplier records and accounts, ensuring information is accurate, complete and regularly reviewed.
- Collate utility meter readings, process consumption data and support the monitoring and reporting of utility costs.
- Manage the finance mailbox, respond to routine enquiries and provide general administrative support to the finance team.
- Maintain effective electronic and paper filing systems and produce reports and spreadsheets as required.
- Identify opportunities to improve administrative processes and contribute to the smooth and efficient running of the organisation.
- Undertake other duties within the scope of the role as required by the line manager.
About You
We are looking for someone who is highly organised, reliable and able to manage a varied workload while maintaining excellent attention to detail. You will need strong administrative skills, good IT and spreadsheet capabilities, and the ability to maintain accurate records and monitor deadlines effectively.
You will be confident communicating with colleagues, suppliers, subcontractors and other stakeholders, with the professionalism and judgement to escalate any compliance or operational concerns when necessary.
Above all, you will demonstrate a positive and professional approach, a commitment to high standards of customer care, and the ability to work effectively within company policies and procedures.
