The Opportunity

We are seeking a proactive and detail-oriented Administrator to manage a high-volume caseload of patients from referral through to discharge. This role is critical in ensuring the organisation consistently meets — and exceeds — service delivery expectations, both quantitatively and qualitatively, for all referrers. The successful candidate will play a key role in maintaining operational excellence and supporting the patient journey with professionalism and care.

Key Responsibilities

  • Ensure complex administrative tasks and support functions meet required standards and deadlines.

  • Manage, appraise, and interpret data, information, and/or situations to support decision-making.

  • Handle all enquiries and queries efficiently and effectively, escalating when appropriate.

  • Communicate clearly and professionally with patients and other stakeholders.

  • Accurately enter, modify, maintain, and present data using appropriate electronic or manual systems.

  • Prepare standard and ad hoc reports as requested by the department.

  • Provide comprehensive clinic support, including:

    • Liaising with patients and consultants via telephone, email, and face-to-face interactions

    • Booking and amending appointments using designated systems (training provided)

    • Coordinating room and consultant availability and managing workloads

    • Supporting Consultant/GP partnerships

    • Creating, altering, or cancelling clinics to meet business needs

  • Collaborate effectively across all business areas and staff groups

Person Specification

We are seeking an experienced customer service professional with the following attributes:

  • Proven experience in a fast-paced customer service environment

  • Ability to prioritise and manage a dynamic workload with shifting priorities

  • Excellent telephone manner and interpersonal skills

  • Strong verbal and written communication skills in English

  • Proficiency in Microsoft Excel, Word, Outlook, and bespoke databases

  • Exceptional attention to detail

  • Understanding of the importance of policies and operating procedures
