About the role

Queens’ College is seeking an accomplished Executive Assistant to provide comprehensive high-level executive support to the Senior Bursar and administrative support to the Domestic Bursar.

The vacancy arises from the planned retirement of the current postholder, following more than two decades of service supporting the College’s work. To support a smooth transition, a comprehensive, structured handover will be provided to facilitate the transfer of knowledge and the preservation of established working practices.

Working closely with both Bursars, the Bursars’ Executive Assistant will serve as a trusted central point of contact while exercising the highest level of discretion, professionalism, and judgement in handling highly sensitive and confidential matters.

The role requires a highly collaborative and flexible approach, exceptional organisational skills and the ability to develop and maintain effective relationships with senior leaders, Fellows, staff, external advisers, and other stakeholders.

This role requires experience in managing complex diaries, coordinating meetings and governance activities, preparing papers and correspondence, and monitoring actions whilst balancing competing demands, and exercising sound judgement in prioritising strategic and operational commitments. An ability to anticipate requirements, take ownership of tasks, identify emerging priorities and ensure that the Senior Bursar and Domestic Bursar are appropriately briefed and prepared will be critical.

The postholder will be responsible for attending a range of meetings and committees, including those involving sensitive, confidential or complex matters. Producing clear, accurate and timely minutes that capture key discussions, decisions and actions is essential.

We welcome applications from candidates who:

  • Have substantial experience providing executive support to senior leaders.
  • Are highly organised, proactive, resourceful, with excellent attention to detail.
  • Can manage complex diaries and competing priorities with confidence and sound judgment.
  • Produce accurate and timely minutes, notes and meeting documentation.
  • Have excellent interpersonal skills and enjoy building effective working relationships, with a commitment to the highest standard of professionalism and integrity.
  • Are proficient in Microsoft Office (in particular Outlook, Teams, Word, Excel, and PowerPoint)
  • Providing high-quality administrative and governance support across a range of Bursary, College and governance activities, ensuring matters are managed efficiently, accurately and with appropriate regard to confidentiality and data security.
