Purpose of the post
The successful candidate will be a key member of the Infrastructure and Service Delivery Team providing coordination and day-to-day running of services to support and enable data-driven cardiovascular and cardiometabolic research. The role requires the postholder to work within a multi-disciplinary team as well as regular engagement with external cardiovascular researchers, NHS colleagues, patients and other stakeholders.
This post would suit someone who is well organised and adaptable with excellent attention to detail. The post holder will have excellent interpersonal skills and excel at working in a team setting. The post holder will have a good understanding of the research process, experience of supporting projects with multiple partners, be comfortable working at pace and motivated by providing efficient and high-quality support and service provision.
Main responsibilities
Service provision
- Responsible for day-to-day service coordination and support for data services that support the cardiovascular research community, within the BHF Data Science Centre as part of the Infrastructure and Service Delivery Team.
- Work to processes and procedures to ensure efficient and high-quality data services are provided to the cardiovascular and cardiometabolic research community
- Carry out day-to-day management of tasks, including maintaining records, tracking, updating and reporting on progress
- Ensure documentation is complete, current, and stored appropriately, adhering to the agreed version control process.
- Support the Senior Service Delivery Manager in producing process and procedure documents, and presenting reports defining service status, challenges and solutions, including collating information, drafting reports and presentations
- Support the team in collating information and preparing documentation for data access submissions and other key areas of work
- Work with finance colleagues in developing cost estimates for projects and supporting cost recovery processes
Support user community and Catalyst meetings
- Coordinate and support the organisation and running of community and project meetings, including preparing and circulating agendas, materials, presentations, and meeting minutes
Relationship management
- Main point of contact with cardiovascular and cardiometabolic researchers for the provision of data services, requiring excellent customer service
- Important point of contact with colleagues in NHS data provider/custodian and Trusted Research Environment (TRE) provider organisations, to ensure smooth delivery of services
- Support the development of lasting relationships with the key stakeholders that foster efficient and collaborative ways of working across the BHF Data Science Centre
- Contribute to internal team meetings
Ensure quality
- Work with other members of the team to improve internal ways of working, including documenting processes and audit
- Identify, and implement opportunities for quality improvement, with support from other members of the Team where appropriate
- Deliver training on processes and procedures, where appropriate
Planning and organising
This post is part of a small team that is embedded in HDR UK and will build on UK-wide partnerships to deliver the infrastructure and services of the BHF Data Science Centre. The Service Coordinator will work closely with the team to support the delivery of data services for the cardiovascular community.
The post-holder will be responsible for managing their own workload which may involve a diverse number of tasks. This will require excellent planning, organisational and time management skills whilst delivering excellent service for the cardiovascular research community. At the same time, the post holder will require a flexible approach to work to changing demands as services are refined or new services are established, driven by the needs of the cardiovascular research community.
Problem solving
The Service Coordinator will be expected to use problem solving skills to respond to the diverse demands on the team. As part of a small team, the post holder will require confidence and resilience in planning and in dealing with enquiries and challenges that arise across the Centre’s work programme.
Decision making
The post-holder will make all day-to-day decisions for their own workload. They will be expected to contribute to collaborative efforts which support service delivery, focusing on effective communication and information provision to support decision making. The Service Coordinator will work collaboratively across the BHF Data Science team, the cardiovascular, cardiometabolic and data science research communities as well as the wider HDR UK and research community.

The post holder will build and maintain effective working relationships both internally, within the BHF Data Science Centre and HDR UK, and externally, with key colleagues within partner organisations and other stakeholders, including:
- BHF Data Science Centre Infrastructure and Service Delivery team, Directors, Health Data Scientists
- HDR UK colleagues
- Researchers in the cardiovascular, cardiometabolic and data science communities from academia, NHS and industry
- British Heart Foundation, and colleagues from other medical charities
- Colleagues in academic and NHS institutions.
- External stakeholders including, but not limited to, health data providers, SDE/TRE providers, NHS organisations, patients and public
