We are looking for an Archives Assistant to support the delivery and development of Coventry Archives as part of the wider Culture Coventry service, based at The Herbert Art Gallery and Museum in Coventry.

This is a fantastic opportunity to work within Coventry Archives on all aspects of archive and local studies library work. The role is based within the wonderful setting of The Herbert Art Gallery & Museum in Coventry. Reporting to the Archives Manager, you will assist in the day-to-day operation and collections management of the archives and local studies material. This customer facing role will help with the facilitation of access to the Coventry archive records, including any associated administrative activities to support the day to day operation of the archives.

We are looking for candidates with:

  • A strong interest in archives and local studies collections, with a good knowledge of the resources they offer.
  • Excellent customer service when assisting customer enquiries.
  • A helpful and welcoming approach to all archive users.
  • Effective communication skills, with the ability to adapt your communication style when handling public enquiries.
  • Good organisational skills to enable methodical working in accordance with procedures.
  • A high level of attention to detail.
  • A basic level of IT literacy to deliver day to day admin activities.
  • An excellent standard of written and verbal communication.

Working hours:

10:30 –15.30 Tuesday, 10.00-15.30 Weds, Thurs & Friday.

Reporting to: Archives Manager

Responsible for: Supporting the supervision of researchers, volunteers, interns, etc.

Coventry Sports Foundation and Culture Coventry are independent organisations who work collaboratively through CV Life, so that this Job Description as a CV Life document extends to cover the employment contracts held with either Culture Coventry Trust or Coventry Sports Foundation.

To support the delivery and development of Coventry Archives as part of the wider Culture Coventry service.
To assist in the day-to-day operation and collections management of the Archives and Local studies material

  1. To undertake the functions associated with the running of an efficient and welcoming public Reading Room and Research Rooms.
  2. To act as a first port of call in the Coventry Archives by offering a high level of customer care dealing with all enquiries with courtesy and efficiency.
  3. To oversee the operation of computers, microfilm readers, photocopiers to support public users.
  4. To use the till for cash and credit card transactions.
  5. To deal promptly and efficiently with all enquiries relating to Coventry Archives and local studies collections whether they are in person, by letter, email or telephone.
  6. To work with marketing staff to develop a broader public understanding of the Coventry Archives through the creation of historical blogposts/displays in Coventry Archives.
  7. To sort, list and organise new donations under the guidance of the Coventry Archives Manager.
  8. To catalogue archives inline with archives standards.
  9. To help produce search guides for the Coventry Archives collections as directed by the Archives Manager.
  10. To assist in the physical movement of Coventry Archives collections including as required including ingest of new material, the retrieval of documents and books for use by the public, and replacement to their correct locations.
  11. To be involved in digitisation work in the collection to create available resources for public users.
  12. To work with volunteers, trainees and work placements as appropriate and assist with the supervision of researchers in the Reading and Research rooms.
  13. To put the customer at the heart, to ensure we always deliver exceptional customer experience.
  14. To support projects which increase access to archives and local studies collections.
  15. To contribute to income generation targets.
  16. To assist with capturing data to be able to monitor archives Key Performance Indicators.
  17. Any other duties that fall within the scope and spirit of the post.

  • Understanding of the ways in which libraries and archives serve communities.

  • Good IT skills and proficiency in Microsoft Office applications.
  • Ability to consider commercial opportunities.
  • Good manual handling skills.
  • Good communication skills both face to face and in writing.
  • Ability to use initiatives, decide upon priorities and organise and manage your time effectively.

  • A flexible approach to work with the willingness and ability to work outside standard hours on occasion.
