Admissions & Marketing Officer Salary: £27,030 per annum 35 hours per week Monday to Friday 9:00am to 5:00pm We require an enthusiastic and friendly Admissions & Marketing Officer to join our busy Admissions and Marketing Team to support the smooth and efficient running of the admissions cycle process and recruitment of day and boarding students into Woodbridge School and marketing activity delivery. We are seeking a dedicated and highly organised individual to support the smooth and efficient running of the admissions cycle and the recruitment of day and boarding pupils into the School. This key role involves working closely with the Director of Marketing & Admissions and the Admissions Managers to manage admissions enquiries, maintain accurate data across our digital admissions platforms, and oversee a wide range of admissions communications. The successful candidate will also play an important role in coordinating bursary and scholarship processes, organising and attending admissions events such as open days and entrance assessments, and supporting mid-year admissions. Alongside admissions responsibilities, the role includes supporting the delivery of marketing activity across the School. This is a varied role suited to someone with excellent communication skills, strong attention to detail, and a proactive, team-focused approach. JOB DESCRIPTION Job Title: Admissions & Marketing Officer Department: Admissions & Marketing Hours: 35 per week Accountable to: Director of Marketing & Admissions JOB PURPOSE: Working with the Director of Marketing & Admissions as part of the Admissions and Marketing Team to support the smooth and efficient running of the admissions cycle process and recruitment of day and boarding students into Woodbridge School and marketing activity delivery. KEY RESPONSIBILITIES: Day, Boarding & International Admissions • Assist in responding to admissions enquiries, by phone, in writing and manging the admissions inbox • Record all admissions enquiry and application progress data on iSAM’s • Ensure all detail from iSAM’s is recorded on the admissions pipeline document (Excel) • Manage all the key admissions management documents e.g. offer spreadsheet, scholar and bursary holders list, calendar dates, handbooks, meeting agendas etc. • Manage the Admissions Ambassadors and organise parent tours • Manage all admissions communications including registration forms, follow-up emails, reference requests, offer letters, parent contracts, joining information, general contact emails etc. • Support the process of entrance, bursary and scholarship applications and assessments • Organising individual taster days • Manage Admissions data and assist with admissions reporting (whole school) • Liaise with the School Office for transfer of admissions data for entry to the school register • Manage testing for in year admissions entrance assessments (UK & International entrance tests) • Assistance with and attendance at admissions events (some weekends and evenings required) • Ensuring all joining information is kept up-to-date MARKETING • Support delivery of Woodbridgian Weekly/CLICK newsletters • Support for marketing projects in liaison with the Marketing Manager • Support marketing administration GENERAL RESPONSIBILITIES: Health and Safety You have a legal duty to take reasonable care of your own health and safety and that of others and you are expected to be familiar with and adhere to Woodbridge School’s Health and Safety Policy and Health and Safety law. PERSON SPECIFICATION Education and Qualifications Essential Desirable • Educated to Degree level in a relevant subject. Knowledge and Experience • Experience of working in an Independent School setting; • Highly competent IT skills including intermediate knowledge of Microsoft Office packages; • Previous experience in an administration role. Skills and Attributes • Ability to communicate effectively and professionally; • Excellent time management and organisation skills; • High quality writing skills; • Excellent attention to detail and accuracy of data input; • Experience with or desire to learn iSAM’s, MSP, MailChimp and WordPress (training can be provided) Safeguarding • All staff are expected to evidence their commitment to promoting the health, welfare and safeguarding of children. Company Sick Pay After a successful probation period, full pay for 5 weeks and, half pay for 10 Sick Pay weeks in any rolling 12 months. Entitlement rises incrementally to full pay for 20 weeks and half pay for 20 weeks in any rolling 3 year period during the 4th and subsequent years of service. School Fees School fee remission may be available depending on individual circumstances and at the discretion of the Governors. Training concerning repayment if the employee leaves for any reason within a given Training costs will be met in full. This will be subject to conditions period.
