You will invoice regularly for payment of your fee. 21 hours per week Courses Manager N/A Kingswood Campus, Bristol, BS15 8DB The Company Circomedia is a training centre for contemporary circus and physical theatre based in Bristol. It provides first access and high-level training and qualifications for children, young people and adults in circus skills and performance. Our high level training courses include a BTEC qualification for 16-18 year olds, the Foundation and Bachelors’ Degrees and a versatile Diploma programme. We programme live performances from the inner-city venue in the heart of St Pauls and work with the local communities to engage, inspire and raise aspiration. Our training campus is on the Kingswood Estate, Kingswood, Bristol. Circomedia supports emerging performers by providing opportunities to devise rehearse and perform new work in a cutting-edge art form with a long tradition. Around 7,000 people engage with our programmes each year as performers, learners, and audience. Circomedia has supported and trained circus professionals for over 30 years who are now working to develop and grow the artform across the globe, securing its future. The majority of staff are practising circus artists and teachers. We directly contributed to Bristol becoming a recognised ‘Circus City’ with a vibrant circus ecology, nurturing the next generation of artists and providing a core foundation to sustain this innovate this artform. As Administrator at Circomedia, you will play a crucial role in supporting the efficient operation of our organization. You will collaborate closely with the Courses Manager and Director of Education and Training and Head of Diploma Courses to manage timetabling and reporting of attendance effectively and provide essential administrative support across various functions. Key Responsibilities 1. General Office Responsibilities: o Serve as the primary point of contact for students and visitors coming to the office and direct them to appropriate members of the team for support or guidance, ensuring a welcoming and helpful environment. o Cover general office duties and administration during office opening hours this includes but is not limited to: phones, costume, equipment, ice and heat packs, first aid items, show bookings, parcel collection, doors, enquiries, visitors, stationers, refreshments, printer/photocopier, etc) 2. Timetabling Management: o Work closely with the Director of Education and Training and Head of Diploma Courses to develop and maintain accurate timetables for courses and programs. o Coordinate room bookings and ensure all resources are allocated appropriately. o Update timetables in response to changes in scheduling or staffing. o Communicate timetables to students in a timely manner. o Assist students to access timetables. 3. Professional Members Coordination: o Manage communications with professional members, ensuring timely responses to inquiries and requests. o Maintain accurate records of professional memberships and renewals. o Assist in organizing events and activities involving professional members as needed. 4. General Administrative Support: o Provide comprehensive administrative support to the organization, including but not limited to filing, data entry, and correspondence. o Assist in preparing documents, reports, and presentations as required. o Maintain office supplies and equipment, ensuring availability for staff use. 5. Registers and Attendance Reporting: o Manage student registers and maintain accurate attendance records. o Monitor attendance patterns and report any concerns to relevant stakeholders. o Generate attendance reports as required by management or regulatory bodies. 6. Assist in Auditions Process and other key events: o Participate in the audition process by sitting on the interview panel. o Make informed contributions about the performance of candidates in the interview so that decisions about making offers to students can be made. o Other auditions support as required. o Assist, plan and contribute to open days, inductions and enrolment. o Attend and assist with SSLC and school events for Academy Provision. 7. Library System Management: o Contribute to the smooth running of the library system by ensuring books are catalogued and shelved correctly. o Assist students in recording loans and returning borrowed books on time. o Monitor overdue books and follow up with students as necessary to ensure timely returns. o 8. Other Responsibilities o Understand the roles of others to provide cover when required during holiday periods. o Contribute as required to support the Academy team in OFSTED visits and mock visits by COBC, BSU of OFS. o Lead, Plan and complete specific projects that arise from time to time as assigned by the Director of Education and Training or Courses Manager. o Ensure all work is carried out with due regard to compliance with GDPR and H&S law. o Other tasks as requested by the Line Manager in response to evolving situations and workloads. Co-operating and providing mutual support to colleagues in both teaching and administration teams. This job description is not comprehensive, and duties may change and develop according to future requirements PERSON SPECIFICATION Essential • Proven experience in administrative roles, preferably within an educational, Circus or arts setting. • Strong organisational skills with the ability to manage multiple tasks and priorities effectively. • Excellent communication and interpersonal skills, with a customer service orientation. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database systems. • Attention to detail and a high level of accuracy in data management. • Ability to work independently as well as part of a team, demonstrating initiative and reliability. Desirable • Previous experience in timetabling, student administration, or similar roles.
