Job Title: Administrator
Contract Type: Fixed term until April 2027. Extension until April 2029 may be considered,
subject to funding.
Hours: 30 – 35 hours per week
Accountable to: DAAS CEO/Service Manager.
Reporting to: STAND To Project Manager.
Location: Veteran Community Hub, Chesterfield.
Salary: £19,546 based on 30 hours
FTE: £24,107.00
Benefits: You will receive 25 days of annual leave plus statutory holidays, both pro-rated based
on your working hours. Additional benefits include a Medicash Health Plan, that provides an
allowance towards everyday healthcare charges such as opticians and dental, and a company
pension scheme. Under the scheme, the company will contribute 6% of your qualifying earnings,
and you will be required to A minimum contribution at 2%. You may choose to increase
contributions if you wish, or you may opt out of the scheme.
NB: This post will be predominantly based at the Veteran Community Hub, However, the post
holder may be required to work from the DAAS Dents Chambers office when appropriate. If the
lease for the HUB building should end, the role’s primary base will revert to the DAAS office at
Dents Chambers, Chesterfield.
Role Overview:
To operationally support the smooth running of the Veteran Community HUB office and provide
comprehensive administrative support to the project workers. The VCH Administrator will also be
required to respond to enquiries from veterans and professionals, both in person and via
telephone, including managing calls received through the VIP line.
Key Responsibilities & Tasks
• To ensure an office presence at the VCH on allotted working days
• To provide advice and information, guidance and support to Veterans, family members
and professionals both face-to-face and via telephone
• To provide signposting for veterans who need to access a range of veteran and generic
support services.
• To ensure that statistical data relating to callers and activity within the VCH is recorded
for monitoring purposes.
• Use the Microsoft Office suite (Outlook, Word, Excel, Teams, etc.) proficiently to
complete all administrative and reporting tasks.
• Provide statistical reports, charts and graphs for management reports and presentations.
• To ensure administrative systems at the VCH are fit for purpose.
• To make any adjustments to referral forms and information as directed by the STAND
Operational manager
• To update and be conversant with the HALO database
• To support project workers and volunteers to use the systems and record data
appropriately as required
• To maintain the fixed asset register (linking with DAAS finance manager) relating to VCH
office equipment, phones and liaise with IT and telecoms provider.
• Order supplies for the VCH to ensure its smooth and effective running.
• Maintain general office housekeeping standards and ensure compliance with health and
safety, safeguarding, and security procedures.
• Support the locking of the premises, assist fire system testing and the operation of
security systems that are in place at the VCH.
• Keep up-to-date Health & Safety and training records, to ensure staff and volunteers
using the HUB are briefed and updated.
• To provide support in the induction process for new workers and volunteers
• To help process invoices and necessary paperwork as required by the Operational
Manager
• To provide feedback to the VCH operational manager or DAAS clinical governance
manager on any issues or risks that impact workers, veterans, families, and volunteers.
• To ensure that any office facilities or systems which fail to work appropriately are
reported to the Operational Manager and that suppliers and maintenance firms, where
appropriate, are informed.
• Work with partner agencies to ensure both inward and onward referral processes are
working effectively.
• Work collaboratively and constructively as part of a multidisciplinary team and contribute
positively to a supportive workplace culture.
• Support project staff in organising activities and events for veterans
• To undertake promotional work such as social media posting, attendance at events, and
dissemination of leaflets and information as required
• To maintain supplies of leaflets and information for those who use the HUB are plentiful,
on display and re-ordered where necessary
• Adhere to all DAAS & STAND TO service policies, procedures, and operational
standards.
• Ensure full compliance with data protection, confidentiality, GDPR, and information
governance requirements.
• Attend and actively participate in team meetings, contributing to shared learning and
team development.
• Engage in statutory, mandatory, and role-specific training to maintain up-to-date
knowledge and skills.
• Participate in regular line management supervision and reflective practice sessions to
support continuous professional development.
• Demonstrate flexibility and adaptability to meet the evolving needs of the service,
undertaking additional duties as reasonably required.
