This is a part- time, term time only role. There will be a requirement, however, to work INSET and training days, and an additional ten days each year of which five days will involve working the last week of August each year, which is essential for year- end accounts. You will be working in a small team of two, however the role itself is incredibly varied, you will be used to working in demanding environments, multi-tasking and dealing with changing priorities. Main Duties and Responsibilities Purchase Ledger & Credit Card Processing • • • • • • • • Process supplier invoices accurately and promptly. Resolve invoice queries with suppliers and internal staff. Prepare payment runs in line with agreed schedules. Maintain up-to-date and accurate purchase ledger records. Reconcile supplier statements and investigate discrepancies. File and retain financial documentation in accordance with school policies. Process and post school credit card transactions, ensuring receipts are provided, coded correctly, and authorised in line with financial procedures. Reconcile credit card statements monthly and follow up on missing documentation. Ordering & Procurement • • • • Raise purchase orders in line with school financial procedures and approval levels. Liaise with staff to ensure orders are authorised and correctly coded. Track orders and follow up on - maintain supplier details and ensure value for money in purchasing. Support tendering or quotation processes where required. General Finance Support • • • • • Assist with month-end processes and basic reconciliations. Provide administrative support to the Finance manager and Bursar. Respond to finance-related queries from staff and suppliers. Support audits by providing documentation and information when requested. Adhere to financial controls, safeguarding, and data protection requirements at all times. Accounts Assistant Person Specification Person Specification Essential Experience & Skills • • • • • • Previous experience in a finance or accounts role (purchase ledger preferred). Good IT skills, including Microsoft Excel and accounting systems. Strong numerical accuracy and attention to detail. Ability to organise workload and meet deadlines. Clear communication skills, both written and verbal. Professional approach when dealing with suppliers and staff. Personal Qualities • • • • Reliable and conscientious. Able to work independently and as part of a team. Discreet, with an understanding of confidentiality. Flexible and willing to support wider school operations when required. Desirable • • • Experience working in a school or public sector environment. Knowledge of school finance systems (ifinance) AAT qualification or working towards one. Appointment will be subject to appropriate pre-employment checks. 7 www.davenies.co.uk www.davenies.co.ukAccounts Assistant The Department Our Support roles are the lifeblood of providing much needed resource and expertise to our boys, staff and parents. We are a small resource, including Finance, Administration, Facilities, Medical and our Marketing, Communications and Admissions department. We pride ourselves on being enthusiastic, helpful and considerate. Working in such a busy demanding environment you will need to be adept at working with constant disruptions and curve balls - all whilst being patient and courteous. The role itself is working in a team of 2. Yourself and the Finance Manager who also works part time, so there will be the need to be flexible to adapt to the working pattern in the department in case of emergencies. You will be supported by the wider School support team where we all work very closely together so there may be additional requirements to support your team members occasionally (e.g covering the school office). The role itself reports into the Finance Manager which then reports into the Bursar. You will have no line reports yourself. It is a lovely part of the school where the Finance department sits, however its the oldest part of the school with creaky floorboards and drafty windows but full of character and the school grounds you overlook whilst sat at your desk are beautiful ! Accounts Assistant Salary & Benefits This role is assigned to the Davenies Support staff group pay scale and the salary will be competitive dependent upon qualifications and experience. Much of the learning for boys from Reception to Year 4 takes place in their own classroom, and from Year 5 upwards takes place in subject-based rooms. The pupils also benefit from the use of the School’s other buildings and outside areas which house the Dining Room and Library, the Performing Arts Centre and Sports facilities including swimming pool, gymnasium, AstroTurf and sports fields. Davenies has over 80 employees consisting of full and part time qualified teachers and teaching support staff, and supported by a team of office staff, a site team led by the Facilities Manager, and a dedicated School Nurse.
