Overall Purpose of Job

To provide an efficient, effective and welcoming administrative and studentfacing service that supports the delivery of College services and contributes to a positive student experience.

You will act as a key first point of contact for students, visitors and colleagues, providing a welcoming, inclusive and professional service.

The postholder will undertake a broad range of administrative duties to support the effective operation of the College, maintaining accurate records, systems and documentation and ensuring work is completed in accordance with College policies and procedures.

Alongside administrative duties, the postholder will provide general information, advice and guidance on a range of matters and undertake initial triage for students identify the need for additional support.

The role requires a professional and compassionate approach, with appropriate boundaries and an understanding that the postholder is not responsible for providing specialist welfare, counselling, financial or safeguarding advice.

MAIN DUTIES AND RESPONSIBILITIES

Administrative Responsibilities:

To undertake all relevant and appropriate administrative duties to meet the needs of the college delivery and support functions.

• Provide reception cover for the Scottish Borders Campus.

Work collaboratively with Reception and Student Support colleagues to ensure a consistent, responsive and high-quality experience for students and visitors.

Assist in the production and security of a range of college documents both electronic and paper based.

• Process orders and invoices within the College procurement system.

• Maintain confidentiality and security of all sensitive information

Undertake delegated tasks, appropriate to the post including assisting with projects/project teams, and cross college groups

Provide administrative support for health and safety functions as appropriate.

Student Experience, Advice and Guidance

• Act as a first point of contact for students, visitors and staff, providing a welcoming, professional and inclusive service.

Provide general information, advice and guidance on routine enquiries relating to College services, student support and other areas within the scope of the role.

Signpost and refer students to appropriate College services, including Student Support Officers, Learning Support Advisors and other specialist roles, ensuring that students understand how to access the support available.

Recognise indicators of wellbeing, safeguarding or other concerns that may require additional support and follow relevant College procedures for escalation, recording and reporting.

Respond appropriately and sensitively to students who may be distressed, anxious or experiencing difficulties, seeking support from an appropriate colleague where required.

Maintain confidentiality and handle sensitive student information appropriately, in accordance with College policies, procedures and data protection requirements.

Develop a good understanding of the student support services available across the College in order to provide accurate information and effective signposting.

Ensure that all tasks and work produced is of high quality and in line with college equality and diversity policy and procedures, staff code of conduct, ICT policies and College environmental strategy.

Contribute to team operational planning and target setting activities.

Actively contribute to the achievement of team goals and targets.

Participate in, and support ongoing quality assessment, reviewing systems and processes

Maintain a clean, tidy and well-organised workspace and reception area, ensuring that the environment is welcoming and safe.
