Pembroke College, Oxford, is seeking an enthusiastic, creative, and highly organised Access and Outreach Administrator (Communications) to join its ambitious and growing Access and Outreach team. This is an exciting opportunity for an individual with excellent communication skills and a passion for educational opportunity to play a key role in delivering innovative access and outreach programmes that support talented young people from under-represented backgrounds in accessing higher education.

The College’s flagship access and outreach initiative, OxNet, is a pioneering educational access programme working with Year 12 students across the North West and North East of England. Delivered collaboratively with partner colleges, universities, schools, colleges, and the Centre for Education in Oxford (CredOx), OxNet provides a rigorous academic programme designed to support high-achieving students from under-represented backgrounds. Alongside OxNet, and the planned OxNet+ initiative extend the College's access and outreach work to a wider range of students, while collaborative projects such as the Atom Valley Education Challenge Consortium (AVECC) engage younger learners and their communities.

Reporting to the Access and Outreach Manager and working closely with the Access Fellow and wider College colleagues, the Access and Outreach Administrator (Communications) will play a pivotal role in coordinating communications activity, supporting programme administration, and helping to deliver a wide range of online, hybrid and in-person access and outreach activities. The successful candidate will contribute to the strategic development of the College’s access and outreach profile while ensuring the smooth operation of key programmes and events.

This role offers a unique opportunity to develop expertise in communications, digital engagement, event coordination, stakeholder engagement, and educational access and outreach within a dynamic and supportive environment. Key Responsibilities

Communications and Digital Engagement

  • Support the Access and Outreach team in delivering the objectives of the College’s Strategic Plan.

  • Work closely with the Access and Outreach Manager to develop and implement a comprehensive communications and social media strategy.

  • Produce, schedule and publish engaging content across social media channels, websites, newsletters and other digital platforms.

  • Maintain and develop content within the team’s Learning Management System and support pupil engagement with online learning resources.

  • Assist with the organisation and delivery of online, hybrid and face-to-face access and outreach events.

  • Create and manage photography, videography and other multimedia content to promote access and outreach activities.

  • Design promotional materials, including posters, guides, presentations and digital resources.

  • Monitor social media channels and online engagement, responding appropriately to enquiries and interactions.

  • Track and analyse engagement metrics to evaluate the effectiveness of communications activity and inform future approaches.

  • Assist with presentations and communications for students, teachers, parents and carers.

  • Support communications activity relating to OxNet, OxNet+, AVECC and other access and outreach initiatives.

  • Work collaboratively with Communications, Academic Office and Development Office colleagues to ensure alignment with wider College objectives.

  • Assist with the preparation of printed materials, merchandise and promotional resources.

Programme Administration and Operational Support

  • Provide comprehensive administrative support for Access and Outreach programmes and activities.

  • Coordinate meetings, maintain records, prepare agendas and papers, and take minutes as required.

  • Manage bookings, timetables, travel arrangements, accommodation and expense processing.

  • Support the day-to-day administration of OxNet, and OxNet+.

  • Attend and support online and in-person access and outreach events.

  • Monitor student participation, attendance and academic progress.

  • Liaise with academic staff, postgraduate tutors and external partners regarding programme delivery and educational resources.

  • Act as a first point of contact for enquiries from students, teachers, parents, carers and partner organisations, ensuring prompt and professional responses.

  • Support the administration and delivery of the Atom Valley Education Challenge Consortium (AVECC) initiative and other partnership projects.

  • Maintain accurate records and ensure compliance with data protection and safeguarding requirements.

General

  • Work collaboratively with colleagues across the College and with external partners to support the successful delivery of access and outreach programmes.

  • Undertake relevant training and professional development opportunities, including safeguarding, first aid and youth mental health training where required.

  • Comply with all College policies and procedures, including those relating to safeguarding, equality, diversity and inclusion, and data protection.

  • Undertake occasional travel and overnight stays in support of programme delivery and partnership activities.

  • Carry out such other duties as may reasonably be required by the Access & Outreach Manager, Access Fellow, or other senior colleagues.

Working Hours

This is a full-time position of 37½ hours per week, normally worked Monday to Friday. Some evening and weekend work will be required to support access and outreach events and programme delivery. Time off in lieu will be provided where appropriate. Occasional travel, including overnight stays, may also be required.
