We’re looking for an organised, detail-focused and student-orientated Academic and Admissions Officer to join the Academic Office at St Antony’s College.
This is a full-time role (35 hours per week), with a salary of £30,378 to 35,608 gross per year plus an annual Oxford weighting allowance of £1,730.
Reporting to the Academic Services Manager, you will play a key role in delivering the graduate admissions cycle and supporting academic and student administration across the student lifecycle. You will contribute to the smooth running of admissions, enrolment, and on-course processes, ensuring a professional and consistent service for applicants, students and colleagues.
About the role
The Academic and Admissions Officer is responsible for the operational delivery of graduate admissions and for providing high-quality administrative support throughout the student journey.
Based within a small, collaborative Academic Office team, you will work closely with colleagues to plan and coordinate admissions activity, manage key deadlines and support start-of-year processes. You will also contribute to on-course student administration, ensuring accurate record keeping, clear communication and responsive support. The role is based on site at the College.
Your work will include:
Graduate admissions and start of year activity
- Managing the day-to-day administration of the graduate admissions process
- Acting as a key point of contact for admissions enquiries
- Processing applications and recording decisions on College and University systems
- Maintaining up-to-date knowledge of admissions regulations and procedures
- Preparing offer packs and supporting applicant communications
- Tracking offers, acceptances and withdrawals, and producing admissions data and reports
- Coordinating pre-arrival activity, including communications, enrolment and Welcome Week
- Supporting matriculation processes and maintaining accurate student records
- Ensuring compliance with UK Visa and Immigration requirements, including right-to-study checks and immigration records
- Liaising with University departments, including Graduate Admissions and Funding teams
- Supporting scholarship administration for incoming students
On-course student administration
- Managing enquiries from applicants, current students and graduands
- Preparing and certifying standard documentation, including status letters and transcripts
- Maintaining accurate student records in line with data protection requirements
- Supporting enrolment, examinations and graduation processes
- Contributing to student communications and website updates
- Assisting with scholarships, grants and College processes
- Supporting Academic Office projects, including records management and data compliance
Some evening or weekend work will be required at key points in the academic year, including graduation ceremonies.
What we’re looking for
Essential
- Excellent written and verbal communication skills
- Strong numeracy and confidence working with data
- Advanced IT skills, particularly Excel, and ability to learn new systems
- Strong organisational skills and ability to manage competing priorities
- Ability to work independently and as part of a small team
- High attention to detail and accuracy
- Sound judgement and discretion when handling sensitive information
- Understanding of data protection and regulatory requirements
- A professional, student-focused approach
- Flexibility to support peak periods, including occasional evenings or weekends
Desirable
- Degree-level education or equivalent
- Experience in Higher Education or student administration
- Experience using systems such as eVision or GSS
- Experience producing reports or management information
