JOB POSTING – HR MANAGER / SENOIR HR GENERALIST OVERVIEW The Elton John AIDS Foundation has been at the forefront of the global AIDS fight for over 30 years. Established at Elton’s kitchen table in 1992, it has since raised over $600 billion to support more than 3,000 projects across 100 countries, reaching 100m people and making it the fifth largest independent AIDS funder globally. The Foundation is seeking a part-time HR Manager/Generalist to oversee the full scope of HR operations including recruitment, onboarding, compensation and benefits administration, employee relations, compliance, and performance management. The role reports directly to the Chief Operating Officer and will work closely with an external HR consultant. This role provides HR support to all staff across offices in New York and London, as well as to remote employees throughout the United States. The position also advises leadership on best practices and aligns HR processes with the organization’s values and strategic goals to foster a positive, supportive, and inclusive employee experience. This part-time role (approximately 20–24 hours per week) is open to candidates based in either the US or the UK. It is an 18-month fixed-term assignment with the potential to extend. For US-based candidates, the position is fully remote, and candidates should be located in the Eastern or Central time zone. In the UK, the role will be hybrid and based in London. 1 RESPONSIBILITIES HR Operations • Serve as the organization’s initial point of contact for all HR Operations, ensuring consistent, compliant, and values-based practices across the US and UK. • Respond to employee and manager inquiries, providing guidance and support on HR policies, procedures, and workplace issues. • Develop, update, and communicate HR policies and procedures, including maintaining the Employee Handbook. • Maintain compliance with employment laws and regulations in both countries, working with external advisors as needed. • Manage the onboarding and offboarding processes, including conducting exit interviews and ensuring smooth transitions. HR Systems and Processes • Maintain accurate HR records, systems, and reporting. • Process employee changes (such as promotions, transfers, and compensation • adjustments) in coordination with managers and finance. Identify opportunities to streamline and automate HR processes and implement improvements. • Serve as liaison with the finance team to ensure accurate and timely processing of payroll. • Develop and maintain regular HR reports and metrics (e.g., headcount, turnover, etc.), providing insights to leadership. Employee Experience & Relations • Provide confidential guidance and support to employees and managers on workplace issues, performance, and development. • Advise and coach managers on HR policies, employee changes, and employee relations matters. • Foster an inclusive and supportive workplace culture that reflects the organization’s values. • Manage employee feedback processes, engagement surveys, and other initiatives that strengthen employee experience. Compensation & Benefits • Administer compensation, benefits, and leave programs across the US and UK, partnering with external providers as needed. • Conduct periodic market and salary reviews to ensure equity, competitiveness, and compliance with local requirements. • Support annual salary review and budget planning processes. Performance & Development • Manage performance management processes, including goal setting, mid-year check- ins, and year-end evaluations. • Partner with leadership to identify training and development opportunities. • Promote practices that support employee growth, retention, and organizational effectiveness. Recruitment & Onboarding 2 • Review and update job descriptions in collaboration with the hiring manager. • Advise managers on recruitment strategies, including where to post roles and how to attract and identify qualified candidates. • May support managers with additional recruitment activities, including posting positions, screening candidates, coordinating interviews, and managing offers. • Support managers through the hiring process by coordinating interviews, assisting with offer negotiations, and preparing offer letters and contracts. • Own and manage the onboarding process to ensure a consistent and supportive employee experience. Other • Complete other projects and tasks assigned by the COO or leadership team. EDUCATION AND EXPERIENCE • Bachelor's degree or equivalent related work experience, HR certification (e.g., SHRM- CP, SHRM-SCP) is a plus. • 5-7 years of progressive responsible HR experience, ideally in a nonprofit or international organization. • Broad knowledge of core HR functions, including recruitment, onboarding, employee relations, compensation and benefits, compliance, and performance management. • Working knowledge of employment law and compliance requirements in the UK (and ideally the US). • Experience administering HR systems; familiarity with BambooHR is a plus. • Demonstrated ability to serve as a stand-alone HR professional and/or member of a small HR team, balancing hands-on execution with advisory and strategic responsibilities. The Foundation is the largest philanthropic donor of HIV-related work in EECA. We support community-led programming focused on HIV prevention, testing, and care for key populations, including people who use drugs, sex workers, men who have sex with men, and transgender people. To help maximize the Foundation’s impact in the region, the Consultant will manage and support project implementation within the Radian 2 portfolio and related initiatives. This includes close collaboration with the Foundation’s grantee partners—predominantly community-based and non-governmental organizations—to design, manage, and evaluate high-performing programs that contribute to reducing new HIV infections and AIDS-related deaths. ASSIGNMENT DURATION, TIME COMMITMENT AND WORK ARRANGEMENT This is a fixed-term assignment with an expected time commitment (level of effort) of approximately five days per week from January 2026 through December 2029. The scope of work may be adapted based on the consultant’s expertise and evolving regional priorities. This consultancy will be completed remotely. CONSULTANT – U.S. PORTFOLIO MONITORING, EVALUATION AND LEARNING TIME COMMITMENT: 10-20 hours per week, starting January 2026, 12-month contract LOCATION: Remote OVERVIEW At the Elton John AIDS Foundation, our mission is simple – to be a powerful force in ending the HIV epidemic. We believe high quality HIV prevention and care should be accessible and affordable for everyone, no matter what. Although significant progress has been made in the development of effective prevention and treatment options for HIV, many people in the U.S. are still not getting the care and treatment they need. Social, economic, and structural inequalities perpetuate the HIV epidemic in the U.S., and barriers to care disproportionately impact racial and gender minorities, especially in the U.S. South. Uptake of powerful prevention tools like pre-exposure prophylaxis (PrEP) is very low, and unmet need is greatest among Black and Hispanic/Latino people. Further, within communities, stigma and discrimination are intense and pervasive barriers to seeking care. The Foundation’s strategy in the U.S. has been focused on breaking through the barriers that keep HIV services from those in greatest need. We have collaborated with trusted community members including faith leaders, harm reduction organizations, experts in trauma-informed care and other community-based groups across the U.S. South to improve access to HIV prevention, treatment and care, and reduce stigma toward people living with and affected by HIV. We have worked to equip the health workforce with what they need to provide compassionate HIV care. We have supported advocacy efforts toward federal and state policy changes that would remove structural barriers and make it easier for people to access the HIV prevention and treatment they need. SCOPE OF WORK During the final year of the Elton John AIDS Foundation’s strategy period (2020-2026), we seek a Monitoring, Evaluation, and Learning (MEL) consultant to support the U.S. portfolio in the following ways: • Represent the U.S. portfolio in Foundation-wide MEL team activities, including participating in team meetings and contributing to cross-Portfolio, foundation-wide MEL workstreams. • Provide MEL technical support and oversight to U.S. portfolio grant recipients, to ensure timely and effective implementation and completion of MEL plans. • Review MEL components of 3-5 new grant applications, or costed-extension requests from current grant recipients, including supporting development of theories of change and MEL plans. • Oversee the collection, analysis, and reporting of data and information on grant performance; review quarterly Grant Reports for up to 10 current grant recipients, and provide guidance to grant recipients as needed to ensure data accuracy. In collaboration with the U.S. Portfolio Lead and Senior Manager, Knowledge, Learning and Impact, oversee activities for three external evaluations: • o Support the distillation and dissemination of key findings from an evaluation of community-based grants in the U.S. portfolio, slated for completion by approximately January 2026. o U.S. policy-related grantmaking to improve PrEP access – already underway, oversee implementation and completion. o U.S. portfolio overall strategy – lead recruitment of external contractor, and oversee implementation and completion. • Support data analysis, reporting, and visualization tasks, including through PowerBI. • Support the development and dissemination of knowledge products based on learning from the U.S. portfolio, including during preparations for the July 2026 AIDS Conference, and during cross-portfolio learning and communication activities at the close of the Strategy period (Q4 2026).
