Lifeguard Lifeguards report to the Pool Manager and work under the guidance of the Deputy Pool Manager. Sports Assistant The principal role of the Sports Assistant is to support the PE/Games department. In addition, Sports Assistant’s will support extra-curricular and boarding within and beyond normal School hours. Financial Controller Reporting to the Chief Operating Officer (COO), the Financial Controller is responsible for the financial accounting of Mount Kelly Foundation and its trading subsidiaries. Purpose of role: • Ensure the effective and resilient day to day operation of the Accounts function. • Ensure timely and accurate delivery of statutory accounts managing the monthly financial processes, including the purchase and sales ledgers, including school fees and other incomes. Duties and Responsibilities: • Accounts Management Service to Mount Kelly • The timely and effective operation of financial processes to ensure an accurate up to date system of all business ledgers. • To take the lead role in supporting the preparation of the termly invoicing process in conjunction with the Admissions team such that a full review of all data required for invoice production on the ISAMs system is fully updated and reconciled. Once the invoicing process is complete, to own the nominal ledger data transfer & audit reconciliation to the Sage Business system. • To ensure that all core working cashflow bank accounts are reconciled on a daily basis and a full month end reconciliation is signed off and records kept of all Bank reconciliations. • Working with the COO, Part time Management Accountant to ensure a collaborative and effective finance team delivering relevant, timely and accurate information. • Responsible for the financial accounting of the Mount Kelly Foundation and its trading subsidiaries. Ensuring that fees and expenses are recorded correctly and in a timely manner. • Oversee Accounts Payable and Accounts Receivable functions, ensuring ledgers are maintained in good order and all transactions are appropriately recorded in a timely manner. • Oversee Debtors ledger and support with the recovery of outstanding and overdue fees. • Oversee and maintain monthly balance sheet reconciliations, based on ownership of agreed nominal ledger codes working in conjunction with the Management Accountant. • Dealing with Parents, and staff queries regarding fees, deposits and expenses. • Working with the Management Accountant to maintain the weekly 13 week rolling cash flow forecast and monthly cash flow forecast with a review and projection against the budget cashflow forecast. • Responsibility to ensure the accurate and timely delivery of month end timetable to enable the management accountant to produce reliable budgets and monthly accounts. • To work with the Management accountant on specific balance sheet items such as Fixed Asset Register, Investments, Operating and Finance Leases, accruals, and prepayments. In conjunction with the COO to review, update and maintain key financial policies. • Preparation and filing of quarterly VAT Returns. • • Take the lead responsibility for ensuring the production of the statutory accounts and the supporting schedules for audit. Duties and Responsibilities Pool • Supervise the pool during swimming lessons and other pool activities ensuring the safety of all users. • Manage any behaviour which could be dangerous to individuals or the safety of others • Enforce pool rules consistently • Handle any breach of rules with courtesy and fairness • Respond quickly, efficiently and calmly to any emergency situation in accordance with established accident management procedures. • Ensure effective communication with other Lifeguards, Swimming Teachers or other staff on duty • Maintain a vigilant watch of the swimming pool areas and take the necessary action to ensure the safe use of the pool users and staff. • Promote a positive image of the pool and deliver excellent customer service • Ensure a consistent high level of cleanliness and hygiene throughout the facilities • Attend at least two hours of lifeguard training per month to ensure continuous professional development and compliance • Ensure pool equipment is stored safely and securely when not in use • Lifeguards should ensure that they are fit enough to undertake training including Fitness Timed Swims. • Take and record accurate water tests at the start and end of every shift or at least every two hours • Monitor cleaning materials and First Aid stock levels reporting any renewal/replacement needs to line manager • Cleaning of changing, shower and toilet areas • Swishing down and cleaning poolside area after every session • Cleaning gutters and drains after each session • Assist your line managers as required with routine maintenance and the general running of the Swim Centre • Regularly patrol the pool hall and changing rooms taking immediate action where required and reporting concerns to line manager • Report any faults or defects promptly to the your line manager either through use of the message book or immediately, using the phone or alternative method, depending on the seriousness of the situation Health and Safety/Child Protection • Knowledge of the building, layout and basic equipment, in order to answer basic questions from customers. • Filling in the Accident book/Incident report if necessary • Ensure all areas are clean and tidy at all times and safe from trip hazards at all times. • Identify any potential hazards in or around the pool and bring to the attention of the Commercial Pool Manager/ Community Swimming and Infrastructure Manager. • Ensure compliance with Mount Kelly Health and Safety and Safeguarding Procedures within the workplace • To carry out all procedures and deal with all situations as indicated in the Normal Operating Procedures and Emergency Action Plan. • To comply with all Mount Kelly policies and protocols • To attend a Child Protection Workshop at least once every three years Administration • Providing information and guidance to all visitors to the Swim Centre • Providing information and taking bookings over the telephone and e-mail • Logging and maintaining records of all users of the Swim Centre • Cash handling, processing and recording all sales • Monitor all stationery, marketing materials and stock for the vending machines ensuring that line managers are aware of any shortages • Report faulty equipment and maintenance issues to the Commercial Pool Manager • Assist with the administration of the Learn to Swim programme and swim school • Operation of computerised membership and booking information systems Customer Care • Demonstrate good Customer Care/Public Relations skills and have an awareness of customer requirements and behaviour. • To provide advice to customers on a first point of call basis, referring where necessary. Performance Swim Coach Mount Kelly Performance Swim Coaches have a duty of care to all swimmers within the swimming programme, and each has coaching responsibilities for the development and management of specific squads or age groups. The primary focus of the role is to deliver coaching excellence to a specific group to allow swimmers to progress to the next level within the programme; as well as significantly contributing to Mount Kelly’s positive swimming reputation in all areas of the coaching and competitive process. All coaches report to and work closely with the Director of Swimming, who is responsible for overseeing the development, direction and management of the swimming programme. Duties and Responsibilities Communication • Be the main point of communication for all swimmers within a specific squad or age group, between swimmers, parents, coaches, school staff, governing bodies etc • Arrange and attend weekly meetings with the relevant staff to ensure a holistic and coherent approach to swim coaching delivery • Communicate results and performances to all relevant staff following all events • Regularly liaise and update the Director of Swimming on progress and matters of importance • Attend weekly coaching meetings • Have excellent communication skills, both verbal and written Coaching • Be the lead coach within a specific squad or age group swimming sessions, working closely with other members of the coaching team to provide the best coaching provision at all times • Provide excellence in coaching and training through use of recognised best practice (in line with the British Swimming OADF), using a mix of conventional and creative solutions to improve performance outcomes for swimmers of all levels • Continually encourage and motivate young aspiring swimmers of all ages and levels of ability that are engaged in the swimming programme • Assist with the day-to-day wellbeing of swimmers within the programme • Be responsible for developing strong links with the Mount Kelly Swim Centre, identifying talented swimmers and transitioning to the Mount Kelly programme as appropriate • Support in the delivery of swimming lessons for all year groups • Contribute to the coaching provision at all appropriate competitions throughout the season • Support in the delivery of land-based training sessions in collaboration with Strength & Conditioning staff Lead by example in timekeeping, smartness and managing expectations • • Coordinate and manage the movement of swimmers across the site • Ensure boarding swimmers are supervised during meal times • Liaise with relevant staff to provide support with break and lunch time duties and contribute to the games/sport provision when possible • Ensure a consistent stream of young talented swimmers can race competitively for Mount Kelly Swimming at the National Arena League, IAPS Championships and ESSA events Planning, goal setting, recording and monitoring • Complete an annual periodisation plan for your training group, liaising with the Director of Swimming, with a specific focus on the County and Regional Championships • Preparation of annual, weekly and daily session plans which clearly display progression pathways and help to engage swimmers, parents and school staff in the process of planning for swimming improvement • Utilise and further develop the goal setting system, including process and outcome goals for both training and racing relating to all areas of physiological, technical, tactical and psychological development • Ensure registers of swimming attendance are kept up to date • Review and reflect on performances at the end of each six-week training phase sharing results with swimmers, staff and updating parents on progress through the reporting system Video analysis • Provide video analysis to swimmers via the Mount Kelly Swimming protocols To assist in the short, mid and long-term development plans of Mount Kelly Swimming • Contribute to ideas and initiatives that will help to maintain and improve Mount Kelly Swimming’s reputation and track record as a leading swimming programme both nationally and internationally Competition and training camp logistics • Contribute to existing training camps by identifying and organising key opportunities for selected training groups and swimmers and be available to coach as either part of a larger coaching team or to deliver individually • Assist in all aspects of competition logistics which will include, where appropriate, the transportation of swimmers to and from events, liaising with relevant staff and parents on estimated travel times and meal arrangements • Complete the School omnibus test • Liaise with the Operations Manager in the planning and booking of accommodation and transport as required Other Administration responsibilities and duties Liaise with the Director of Swimming on daily hours and availability • • Contribute to recruitment, via ideas, initiatives and marketing opportunities • Contribute to Open Days and swimming assessment sessions as appropriate • Keep abreast of e-mails and personal administration • Meet report writing deadlines • Assist in keeping noticeboards in the Swimming pool, Common Room and the Swimming Performance Centre, fresh and updated regularly Staff Liaison • Adopt a responsible approach to building professional relationships whilst liaising and working with all staff associated with the Mount Kelly Swimming programme and the School to ensure continuity of care between the pastoral, swimming performance and academic programmes. Duties and Responsibilities • Assist with proper care, maintenance and improvement of all sports turf and grassed areas, gardens, boundaries and boarders (including planting of bulbs, shrubs and bedding plants as required) throughout the Mount Kelly sites. • Maintain pitches to include cutting grass, spiking, daily inspections, divot filling and maintenance of markings • Lay out pitches, which involves measuring out and marking new lines • Carry out renovations to pitches by dressing, over seeding and fertilising • Provide and maintain garden displays around the sites including ports and hanging baskets. • Assist with removal of litter/debris/leaves from hard surface areas of the school • Ensure the efficient maintenance and availability of all physical resources, equipment, materials (particularly machinery), property, structures, surfaces and landscape • Be a competent user of relevant machinery including tractor/mower, scrub cutter, strimmer, hedge cutter • Drive vehicles and equipment as required for garden maintenance operations • Fully knowledgeable of all relevant Health and Safety regulations • Promote and by example ensure safe working practices at all times • Possess thorough understanding of regulations relating to chemicals and dangerous substances • Attend training courses as requested • Undertake other duties from time to time as requested by the Grounds Manager Additional • Mount Kelly is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment, and behave accordingly.
