The Role Job role: Lettings Supervisor Reporting to: Estate Manager and Bursar Main Duties and Responsibilities: Working with the Estates Manager and the Bursar, the Lettings supervisor will manage and develop the schools out of hours lettings of sports and school facilities including the sports hall, outdoor pitches, staff work space and other lettings areas. The post holder will be required to work evenings and weekends during term time and during the school holidays. The shift pattern will be determined upon agreement with the successful candidate and therefore overall salary calculated pro rata accordingly. Main Duties To manage the school's Lettings Programme using the lettings email address, receiving enquiries and responding as appropriate in a timely fashion. To market the facilities and maximise lettings income. Together with marketing team, ensure the schools website is kept up to date with regards to lettings. To attend onsite during letting periods and ensure adequate staffing in place. To liaise with hirers and ensure customer satisfaction and elicit feedback on the customer experience. To deal with problems and issues arising from Lettings. To be a key holder responsible for opening and locking and alarming the Premises. To develop and manage the bookings system and ensure registers of users are maintained to enable accurate billing and user data. To be responsible for Health and Safety throughout the school during letting hours (evenings and weekends). To undertake checks of the facilities and to record/report and prevent damage. To liaise with the Estates Manager and contractors especially around repairs and redecorations, planned works, cleaning, etc. To have a continuous improvement approach to all processing, making suggestions for improvements/refinements to the current working processes as appropriate. To carry out duties during letting periods such as cleaning, light DIY and other ad hoc jobs. Other duties appropriate to the grade and role as directed by the Bursar and /or the school's Senior Leadership Team. Undertake general porterage duties related to lettings or school events, including moving sports equipment within the school ensuring the effective set up and take down of lettings equipment Perform duties in line with health and safety regulations (COSHH) and act where hazards are identified, reporting serious hazards to the Estates Manager immediately. Undertake regularly health and safety checks of buildings, grounds, fixtures and fittings (including compliance with fire safety regulations) and equipment, in line with other schedules. Adhere to the school, local and national authorities’ guidelines and exercise professional discretion at all times.
