Outline of the roleAbout the roleThe Wave Project is the UK’s leading Surf Therapy charity, a pioneer in usingsurfing as a form of therapy. As a multi-award-winning charity we prideourselves on delivering a big impact with a small, committed team of 35 staffand 1,600 wonderful volunteers. In 2024, we supported over 2,500 childrenand young people to improve their confidence, self-esteem, resilience andsocial skills. The role of Project Coordinator sits at the heart of The Wave Project. Their roleis to use surfing and the community to help young people build confidenceand trust. Project Coordinators work with local volunteers, referrers and thewider community and are accountable to deliver a safe, sustainable surftherapy program within a project location. Under the supervision of a RegionalTeam Leader, they are responsible the successful delivery of our 3 phaseintervention to improve the lives of young people in their area. The role is accountable for the delivery of organisational KPIs. These KPIssurround the key areas highlighted below; volunteers, promotion andadvocacy, delivery of interventions, sustainability and Administration &Evaluation. At The Wave Project, we take our Safeguarding responsibilities seriously. Allour volunteers and staff team work hard to ensure that everybody who comesinto contact with The Wave Project is safe. Before applying for any of ourroles, please familiarise yourself with our Safeguarding policy, especially ourcode of conduct, to ensure you are the right fit for our organisation.Key ResponsibilitesVolunteer ManagementTake accountability of KPIs set by the organisation on volunteer recruitment,retention and deployment.To recruit and retain a solid volunteer base, building a supportive 'family' aroundthe local project.Ensure that all volunteers have their relevant police checks relevant to theirlocation (DBS, PVG, Access NI) and that their volunteer record is kept up to date.Ensure all volunteers have received the appropriate training prior to working withvulnerable young people.Identify, support and deploy volunteers into different areas of support for theproject including, but not limited to, surf mentors, fundraisers, events support,drivers, social media support.Promotion & Advocacy Take accountability for KPIs set by the organisation with regards promotion andadvocacy of the project with local agencies.To be highly knowledgeable, innovative and responsive to local opportunities.To build professional relationships with local agencies. This can include referralpartners, commissioning bodies and funders.To establish and maintain relationships with the young people referred for SurfTherapy, supporting them and their family through the process. To be a local ambassador for The Wave Project in your area and increaseawareness of the charity’s work.Galvanise the community to come behind The Wave Project and its aims. To keep an active presence on local social media, updating on ‘good news’ stories,case studies and events.To keep the local mini-site on the main Wave Project website up to date.To keep local stakeholders (e.g. referrers, funders and supporters) regularlyupdated with the project’s progress throughout the year, which may include theproduction and distribution of local impact reports, regular email communicationor talks etc.Delivery of Surf Therapy and Surf ClubTake accountability for organisational KPIs with regards the delivery of serviceswithin your project area.Build professional relationships with referral partners to obtain referrals for SurfTherapy courses.Meet clients and their referrers in advance of sessions, listen to and address anyconcerns they have, and ensure all their needs are met. Arrange any specialtransport requirements by booking volunteer drivers.Relay any special client requirements to the freelance Surf Instructors andensure they have been adhered to on the ground.Communicate with Surf Instructors in advance of lessons, and relay and specialinformation back to clients, such as cancellation of a session due to weatherconditions.Working with the family and referrer, complete risk assessments for individualsprior to sessions.Respond to individuals in the appropriate way to facilitate them coming on thecourse.Coordinate and oversee the smooth delivery of a series of The Wave Project surfcourses and Surf Club sessions.Provide a point of contact for clients and their families.Ensure clients receive a positive experience at sessions.Ensure all activities are delivered safely, in line with The Wave ProjectSafeguarding Policy.Be the first point of contact for any queries, cancellations or changes fromclients, referrers or volunteers.Ensure that each session provides enough volunteers to meet the target ration of1:1 volunteers – clients.Work alongside the Surf Instructors to ensure that all adequate kit, includingboards, wetsuits and rash vests, are available for use at each session.Brief volunteers in advance of sessions.Ensure that all sessions are safe and that client needs are being met. Ensure asuitable person is there to meet and greet clients (and their parents, guardians orcarers) on arrival and direct volunteers to do the same.Work alongside the Surf Instructors to direct volunteers during sessions andensure they understand what is required of them – providing encouragement andmotivation to clients.Report back to the RTL and undertake any other duties in line with the above asrequired by them.Sustainability of ProjectTake accountability for financial KPIs as set by the organisation includingfundraising targets.Liaise with local fundraisers, volunteers, businesses and organisations to achievefundraising targets.To hold several events per year for fundraisers, as well as galvanising the localcommunity to fundraise on the project’s behalf.To liaise with referral partners regarding the referrer contribution of £150towards the overall cost of Surf Therapy.In line with the financial control policy, and with the support of the head ofFundraising, apply for grants available within your locality to support your workand ensure proper reporting is done. Administration and Evaluation Be accountable for KPIs set by the organisation regarding administration andevaluation, including timely and accurate record keeping.To ensure all client, parent, referrer, and volunteer records are kept up to date onthe organisation’s data systems, as well as any other relevant records.To support the use of The Wave Project app for parents and volunteers alike toensure accurate record keeping.Ensure timely responses to all queries which you may receive.Attend team meetings within the organisation, either virtually or in person.Undertake all mandatory training required of you for your role.Ensure that client evaluation forms are completed both before and after eachcourse, and that clients have not been unduly influenced by anyone whenanswering the questions.Obtain parent/carer feedback, and also referrer feedback for evaluation. To enterall feedback data into the monitoring sheets in a timely fashion. Report back tothe referral partner with a summary of how the young person engaged with thesessions.Watching them soar high above the wavesbrought great pride too. The ‘therapy’ didnot just end there, my boy would comehome feeling contented, at peace, high onconfidence, his wellbeing restored from atough week at school. He slept more soundlyin that six weeks than ever before.We continue our journey with the WaveProject, even though the initial six weekshave now finished. We were invited to joinSurf Club. Each month we go along and meetup with familiar faces, all the weather proofkit is provided. Most recently, we had opportunity toexperience Flow Rider. Wow what anamazing time my boy had, he was absolutelyin surf heaven. Loving every second of itlearning new skills, and experience. Testingout new skills, learning to take risk in a safespace. Each month he now gets excitedabout what Surf Club have to offer, and weare now booked into the next Flow Rider andlooking forward to Christmas Surf. I highlyrecommend this experience for all ages itwas a wonderful opportunity that we arevery privileged to be able to take part in andcontinue.Surf Therapy parent The Wave Project has been an invaluablelife changing experience for my foster son. He has always loved and been confident inthe water. However, Surf Therapy offeredsomething more than that, they created alittle family with friendship, security andsmiles all round. Their encouragement and100% dedication as a group of volunteersleft a positive lasting impression upon myfoster son. What started as an apprehensive journeyeach week to our favourite beach for TheWave Project soon turned into anadventure of sheer excitement andenjoyment. He came alive in the sea,laughed and smiled abundantly. He tookrisk, learning to first kneel and then standup, riding the waves.My wonderful boy who really struggles withfriendship and communication built arelationship with his Wave Project buddy,an unbreakable trust as my boy rodethrough the waves.I cannot thank them enough for that. Thiswas not only my foster son’s journey, I alsoenjoyed being part of group, watching andnoticing all the other children and youngpeople come alive, overcome their fears ofwater and other new things. HOW SURF THERAPY CHANGEDA LIFE IN POLZEATHPerson SpecificationEssential Experience and SkillsExperience in volunteer coordination or project management within thevoluntary sector, OR direct experience of working professionally withchildren and young people.  A strong understanding of safeguarding and child protection.  Skills forbuilding relationships with statutory organisations or other professionalbodies.  IT proficient with an organised approach to administration. Superborganisational skills and an ability to work under pressure. Excellentinterpersonal skills and an ability to communicate clearly with other people,including children. A sense of humour. Ability to work on own initiative, to deadlines, and in a flexible, pro-activeway.  Ability to work as part of a team.  Thorough understanding of client confidentiality. Skills in building relationships with statutory organisations or otherprofessional bodies. Employment rights to work in the UK.  A full UK driving licence.
