Office Administrator (part-3me) We are looking for a proac/ve and experienced Office Administrator to oversee the day-to-day running of the office at the Hellenic Centre, ensuring that administra/ve processes run smoothly. The Hellenic Centre offers a rich programme of cultural events including lectures, exhibi/ons and concerts, promo/ng awareness of Hellenic culture and nurturing UK rela/ons with the Greek- speaking world. We also run Modern Greek language courses throughout the year and hire our spaces for corporate events. Building on our history and values aJer more than three decades of successful ac/vity, we are moving into a new, exci/ng phase where we explore the significance, impact and connec/ons our culture has with the contemporary world. Your varied role is pivotal within the charity. Key responsibili3es General • Working in collabora/on with other staff for the smooth opera/on of the office • Contribu/ng to the management of the office diary • • Liaising with the Director to organise mee/ngs with Execu/ve Board Liaising with the Director to organise bi-monthly mee/ngs for all staff • Contribu/ng to funding bids when appropriate by providing accurate financial informa/on • Ensuring the office has sufficient sta/onery supplies • Assis/ng with the development of environmental ini/a/ves and staff compliance with sustainability policies HR • Processing monthly work sheets for payroll • Crea/ng and monitoring weekly shiJs for office staff • Keeping accurate records of annual leave, sick leave, extra hours • Arrange staff induc/on and training sessions as required • Liaising with the Director to organise Proba/on Reviews as required and annual Performance Reviews for all staff, and ac/on any changes aJer the mee/ngs Finance • • Processing invoices and other payments on a bi-weekly basis Liaising with the company's accountant on a weekly basis • Maintaining robust monitoring systems for the recording of all expenses • Managing renewals of contracts • Managing peTy cash Person specifica3on You will have three years of proven experience at an organisa/on in a similar role You will have excellent organisa/onal and people skills Essen3al • • • A good working knowledge of MicrosoJ Office 365 • • Fluent in English Eligible to work in the UK Desirable • Some HR experience Personal AAributes • Experienced in office management • Organised with aTen/on to detail • • Excep/onal communica/on, verbal and wriTen Excellent interpersonal skills and ability to liaise with people at all levels • Ability to mul/-task and balance compe/ng priori/es • Ability to meet deadlines • Ability to remain calm and focused • Ability to work in a team and independently • Ability to take ini/a/ve and problem solve Details of employment 12-month fixed term contract with possibility of renewing Salary: £28,000 - £30,000 pro rata according to experience 3 days a week, in the office Usual working hours: 09:30 – 17:30 Loca/on: The Hellenic Centre, 16-18 Paddington Street, Marylebone, London W1U 5AS How to Apply Please email a CV and covering leTer outlining your interests, skills and experience in rela/on to the job descrip/on to Anna Middleton at administra/on@helleniccentre.org.
