Head of Swire Archives

Swire Archives’ mission is to manage the archive of Swire group companies in Hong Kong, the Chinese Mainland, Taiwan and Singapore, and collaborate with our stakeholders in building engagement with our heritage and archive collections. The collections chronicle the Swire Group’s remarkable 150-year legacy in Hong Kong and beyond, offering a rare opportunity to engage with one of the region’s most significant and enduring business archives.


This role serves as the primary representative and key contact for Swire Archives, overseeing office administration and facilities management to ensure a safe, efficient, and professional operating environment. The position leads the Archive Engagement & Communications function, managing events and communication materials, while also supervising archives access services to ensure all usage aligns with Swire’s access policy and the branding and business interests of archives owners. The role also actively promotes Swire Archives by building strong stakeholder relationships and connecting internal and external partners through engagement initiatives.


This role reports to Head of Group Archives of John Swire & Sons Limited.

Responsibilities: 

  • Oversee Swire Archives administrative operations, including policy implementation, HR support, budgeting, and acting as the primary liaison and representative for Swire Archives
  • Develop and execute annual strategies and budgets for the Archives Engagement & Communications Section
  • Oversee and implement event planning, execution and management, and host visits for a wide variety of stakeholders including government, media, business partners, internal teams and community groups
  • Promote archive usage by engaging internal teams and external partners across CSR, branding, and educational initiatives
  • Lead the creation of promotional content and communication strategies, and support group companies in developing archives-related communication content
  • Oversee the curation and content management and programming in the Engagement Space in collaboration with the Archives Service team to ensure smooth visitor experience
  • Collaborate with Archives Service team head to develop and oversee the implementation of archives access policies and procedures
  • Manage the Swire Archives facilities, ensuring maintenance, compliance, and operational standards

To be successful in this role, you will ideally have:

  • A Bachelor’s degree or above, preferably in Public Relations, Marketing, Communications, Language, Translation or Education
  • Senior experience in public relations, marketing, stakeholder engagement, and corporate communications
  • Keen interest and solid experience in outreach, communications and stakeholder engagement
  • Strong communication and storytelling skills, both verbal and written
  • Sound proficiency in Microsoft Office Suite, with familiarity using emerging AI-powered tools in daily work
  • Excellent command in spoken and written English and Chinese (Cantonese and Putonghua)
