Salary: GB6 - €46,821 - €52,024
Requirements: This role is based in Kyiv, Ukraine, with regular travel to the area offices in Sumy, Kharkiv, Mykolaiv, Kherson and other project locations as required.

In Ukraine Alliance2015 members, Concern Worldwide and Welthungerhilfe (WHH), have been jointly working together since February 2022, using their combined resources and reach, to ensure a quick and effective emergency response to assist the population affected by the conflict. This response, known as JERU (Joint Emergency Response in Ukraine), is working across Ukraine to help affected population through provision of cash assistance, in-kind food and NFI items, protection services, community led initiatives and support for livelihoods and economic recovery. JERU implements all of its programme in partnership with local and national NGOs and Civil Society Organisations.
Role Purpose: As Grants Coordinator, you will report to the Programme Director (PD) and support them in the design, management, coordination and reporting of the programme portfolio in Ukraine. You will work closely with Heads of Projects in order to ensure high quality and compliant donor and internal reporting as well as contributing to the capacity strengthening plans for national and local partners. This role is part of the Programmes Team where you will be required to work collaborative with other team members, including Deputy Programme Director, Partnership Manager, MEAL Coordinator and Cash and Voucher Coordinator.
Responsibilities:
- Identify, assess and pre-select new project ideas based on the country programme and in line with the strategy
- Under the supervision of the Programme Director, serve as country level focal point for proposal development, including facilitating go/no go meetings, internal kick off meetings, coordination of the proposal development workplan, roles and responsibilities and writing of proposals.
- Maintain, manage and update a programme toolbox comprised of all tools developed for project design, implementation, monitoring and reporting under the supervision of the Programme Director.
- Monitor project reporting schedules and coordinate with Heads of Projects, programme and finance teams and other relevant departments on reporting deadlines ensuring reporting occurs on time to Head Offices and donors.
- Develop, revise or elaborate narrative reports before submission to the donors or the donor unit in accordance with internal protocols.
- Serve as the in-country focal point for the project management platform (ProMIS/GMS) and support capacity building of international and national staff to effectively use this platform.
- Support capacity building of project teams and partner organisations as requested, particular new national staff coming into project management positions.
- In coordination with the Programme Director, ensure that JERU is represented at external meetings of clusters, donors and UN agencies
- Provide support to the Programme Director to ensure effective project cycle management is implemented across the programme portfolio.
- In coordination with the Country Director, and under the supervision of the Programme Director, coordinate the writing of annual reports and ensure their timely reporting.
- In coordination with the Country Director and Programme Director, ensure that donor mapping and action points are reviewed on a quarterly basis.
- Support the Programme Director with the development and review of the Country Strategy, providing programmatic inputs.
- In coordination with the Programme Director, represent JERU at external meetings of clusters, donors and UN agencies as required.
Role Holder Requirements:
Essential:
- Bachelor’s Degree in Project Management, Development, Business or relevant field. Master’s Degree in related field is an added advantage or relevant years of experience.
- Grant coordination, project management or similar experience in the Humanitarian sector (at least 3 years)
- Proven knowledge of proposal design and its key elements such as needs analysis, logframe and theory of change
- Coordination and organisational skills, including ability to work under pressure
- Excellent communication skills and intercultural sensibility
- Excellent spoken and written English
Desirable:
- German donor experience (such as BMZ/GFFO) would be an advantage
- Knowledge on basic needs assistance, protection, and economic recovery programming would be an asset
- knowledge of Ukrainian is an asset
