About the Role
We’re looking for a New York-based Administrative Assistant to work across our People, Communications and Technology teams enhancing their efficiency and productivity.
Managed by our Director of Communications, James, who is also New York based, you’ll be a key member of multiple teams, and responsible for coordinating a variety of administrative tasks and projects. The teams you will be supporting are primarily based in the UK and the US, so someone comfortable with and excited by working with a global team across multiple time zones, is important.
Examples of responsibilities:

Supporting smooth staff onboarding and offboarding processes, being responsible for scheduling each new starter’s first month of onboarding sessions and coordinating IT requirements for our primarily remote-working team spread across the US.

Monitor and manage IT inventory, including hardware, software licenses, and US-office supplies and requirements

Coordinate the office operations and office accounts in the US, that includes small team spaces in WeWorks offices in San Francisco and New York, and multiple remote working locations across the US.

Supporting the Communications team with recurring tasks, such as building and distributing newsletters, updating content on our website and internal platforms, compiling analytics from email and social channels, and preparing draft copy or assets for team review.

Assisting with the production of regular external and internal communications (blog updates, event announcements), ensuring key deadlines and approval processes are met.

Support the Recruitment Lead in interview scheduling and candidate communications in high volume moments for the talent acquisition function

Serve as a point of contact for People, Communications and Technology vendors, consultants and suppliers, tracking and submit invoices, and working with the finance team to ensuring timely payments

Project by project administrative support for all three teams.
What We’re Looking For
We’re looking for an enthusiastic, resourceful, and systems savvy individual with a passion for social impact. You’ll be excited to ensure the multiple teams you support increase their efficiency and output.
Ideally, we are looking for someone who is:

Highly organized with a knack for effective context switching, able to seamlessly transition between diverse administrative needs for various teams.

Can master MS Office Suites, beyond basic use. You’ll become an expert in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace (Sheets, Docs, Slides, Calendar, Forms). Advanced functions like mail merges, and creating polished presentations should come naturally.

Expertise in using video conferencing tools (Zoom, Google Meet), and comfort with instant messaging applications (Slack).

Adaptability and a Growth Mindset: A proactive willingness to learn new technologies and systems as they are introduced, and work across the many we currently use.

Someone who embraces change and sees new tools as an opportunity to improve efficiency.

Location and Travel Requirements
This role is based in New York City, and the jobholder will be required to work from our WeWork office space in Irving Place, lower Manhattan, 1-2 days per week. The jobholder is also required to attend team offsites as well as an annual global offsite, typically held in the UK.
