Main purpose of job: 

To ensure all Little Gate sites are safe, compliant, well-maintained, and effectively managed. The role leads on health & safety, statutory compliance, and contractor oversight, while coordinating facilities management across the organisation. It also champions environmental sustainability, driving initiatives that reduce environmental impact, improve energy efficiency, and ensure sustainable practices are embedded across all sites and operations.

Location: 

Your usual places of work will be at the Little Gate centres – The Bridge in Hastings, Little Gate Farm in Beckley and the Little Gate Supported Employment office in Battle. However, your job duties include a requirement that you will travel away from these locations as may be required by the Charity for the proper performance of your duties. Other locations may include but are not limited to other offices or branches of the Charity and any agreed remote working location (which could include your home).

Salary: 

£ 14/hr – 40 hours per week

Your usual hours of work will be 40 hours per week, 8 hours per day working core hours between 8.30am and 5.30pm, Monday to Friday. However, days and times of work will sometimes need to be variable to suit the business needs of the Charity and there will be some weekend, early morning and evening work within the 40 hours per week schedule.

In certain circumstances, it may be necessary to adjust or exceed your normal working hours in order to meet the requirements of your job.

Probationary period:  

6 months 

Holiday Entitlement: 

5.6 weeks per annum (pro rata) inclusive of bank and public holidays

Safeguarding requirements: 

All employees and volunteers and volunteers, regardless of their posts, share in the responsibility for protecting our work trainees, service users and students, keeping them safe from harm whilst they are attending Little Gate and for reporting concerns about any person’s welfare and safety. 

DBS requirements; 

Child and Adult Workforce Enhanced with barred list check. 

Main tasks of job: 

  1. Health, Safety & Statutory Compliance
  • Maintain and monitor the organisation’s Health & Safety Action Plan, ensuring actions are completed.
  • Coordinate all statutory inspections, servicing, and compliance requirements across sites.
  • Maintain a central compliance register covering:
  • Machinery and vehicles
  • Grounds maintenance equipment
  • Buildings and infrastructure
  • Inspections, servicing, defects, and repairs
  • Office items
  • Maintain a compliance calendar for:
  • Servicing and inspections
  • Certifications and renewals
  • Training requirements (in liaison with HR where appropriate)
  • Hold accountability for inspection and maintenance records across all assets.
  • Coordinate electrical safety compliance, including EICRs, PAT testing, and remedial works.
  • Coordinate Legionella management, including monitoring and contractor inspections.
  • Support managers to ensure:
  • Risk assessments are regularly reviewed, updated, and communicated
  • Work with HR to:
  • Maintain health & safety training records
  • Monitor refresher requirements and compliance
  • Monitor Fire Risk Assessment work including Fire Warden training. Support Managers to complete practice Fire Drills.
  1. Contractor Management
  • Maintain an approved contractor register.
  • Ensure all contractors:
  • Complete a contractor approval questionnaire before starting work
  • Provide up-to-date insurance and compliance documentation
  • Review contractor documentation annually to ensure compliance.
  • Act as the key contact for contractors across all works.
  • Build strong relationships with suppliers and regularly review contracts and service level agreements to ensure best service provision and value for money. This will include DBS checks for regular contractors.
  1. Site Inspections & Assurance
  • Carry out and document regular site safety inspections across all locations.
  • Monitor and track completion of actions arising from:
  • Site inspections
  • Audits
  • Accident/incident investigations
  • Escalate risks and non-compliance to the Leadership Team.
  • Alarm, Fire and Safety Testing
  1. Training & Competency (Health & Safety)
  • Maintain a Health & Safety training matrix
  • Monitor:
  • Training completion
  • Expiry dates
  • Refresher requirements
  • Coordinate delivery of refresher training where required.
  • Ensure competency records are maintained and accessible.
    (Delivered in partnership with HR/INTERNAL TRAINER if appropriate.)
  1. Health & Safety Culture & Engagement
  • Support delivery of Health & Safety awareness activities and campaigns, including Health & Safety Weeks.
  • Promote a positive safety culture across all Little Gate sites.
  • Encourage safe working practices among staff, trainees, and volunteers.
  1. Induction & Onboarding Support
  • Support site inductions to ensure all new:
  • Staff
  • Volunteers
  • Bank staff
  • Contractors
  • Visitors
    receive appropriate safety information.
  • Ensure induction materials are up-to-date, accessible, and consistent across sites.
  1. Facilities Coordination
  • Coordinate planned and reactive maintenance across all sites.
  • Liaise with contractors and the internal maintenance resource to ensure works are completed.
  • Support site teams with facilities-related issues, ensuring timely resolution.
  • Monitor budgets relating to facilities, maintenance, and compliance (if required).
  • Key holder and primary contact for site security, alarms, and emergency response.

Essential Criteria;

  • Willingness to undertake an enhanced DBS check.

Candidates must be able to demonstrate: 

  • Experience in health & safety, facilities, estates, or compliance coordination
  • Knowledge of key health & safety and statutory compliance requirements
  • Experience maintaining accurate records, trackers, or compliance systems
  • Experience coordinating contractors or external providers
  • Ability to carry out inspections and monitor actions to completion
  • Strong organisational skills with the ability to manage competing priorities

Desirable Criteria; 

Experience in a charity, education, farm, or multi-site environment

Experience working alongside HR on training or compliance records

Qualifications and knowledge; 

Strong Maths and English skills equivalent to GCSE Grade 4 (Grade C) or above, demonstrated through qualifications, training, or relevant experience. 

  • Relevant qualification or training in Health & Safety (e.g. IOSH, NEBOSH) or willingness to work towards
  • Good understanding of UK health & safety legislation and compliance requirements
  • Understanding of risk assessments, inspections, and safe systems of work
  • Awareness of statutory requirements relating to:
  • Electrical safety (EICR, PAT)
  • Legionella
  • Equipment and machinery maintenance
  • Understanding of training and competency requirements (desirable)
